Role Overview
Empire Holding is seeking a polished, highly organized Receptionist & Investor Administration Coordinator for its Abu Dhabi office. This position blends reception support with investor administration and back-office coordination. The person in this role will help manage onboarding paperwork, document handling, account activation steps, investor files, and communication between subsidiary businesses and internal teams. The role acts as a critical checkpoint before investors are activated.
Key Responsibilities
- Collect, sort, and maintain KYC paperwork and related investor records.
- Handle investor files, agreements, onboarding forms, and supporting documents.
- Keep onboarding trackers current and update CRM entries as needed.
- Support the setup and activation of investor accounts.
- Prepare and send welcome emails and login credentials for investors.
- Follow up on incomplete or outstanding document submissions.
- Assist with investor migration assignments and compile onboarding documentation packs.
- Maintain accurate document control processes and filing records.
- Coordinate administrative communication with subsidiary companies and internal teams.
- Track AUM allocation requests and related follow-ups.
- Monitor onboarding and migration progress.
- Record deposits and confirmation details accurately.
- Assist with investor account transition activities.
- Support front-desk operations when needed.
- Help coordinate investor meetings and guest visits to ensure a professional reception experience.
Requirements
- At least 2 years of experience in administration, document control, compliance support, banking operations, real estate administration, or financial services.
- Strong organizational ability and a careful eye for detail.
- Professional communication skills in both written and spoken English.
- Advanced proficiency with Microsoft Office applications.
Preferred Experience
- Prior exposure to KYC or compliance-related work.
- Hands-on experience with CRM platforms.
- Experience in financial services or investment administration.
