Role Overview
The Receptionist & Admin Assistant will perform essential office support duties within a designated workplace environment. Key tasks include welcoming visitors, handling calls, preparing meeting spaces, and maintaining administrative processes under the Workplace Experience function to ensure top-level customer service to both clients and visitors.
Primary Responsibilities
- Manage incoming calls and redirect them appropriately, including voicemail handling.
- Welcome clients, visitors, and applicants; issue visitor passes and parking validations while adhering to security protocols.
- Coordinate scheduling and preparation of meeting and conference rooms, including room setup, placing catering orders, and arranging necessary technological equipment.
- Request and coordinate building and housekeeping services as required.
- Execute general clerical responsibilities such as distributing faxes, managing packages, and ordering office supplies.
- Monitor and track incoming/outgoing mail, packages, and freight; organize messenger and hospitality services like guest transport and reservations.
- Utilize established procedures to resolve routine issues with some discretion.
- Operate following clearly defined duties and processes under close supervision to deliver expected outcomes.
Required Qualifications & Skills
- High school diploma or GED with up to two years of relevant job experience.
- Ability to adhere to established work routines and standards.
- Able to communicate clearly to convey straightforward information.
- Proficient with Microsoft Office Suite, including Word, Excel, and Outlook.
- Strong organizational capabilities paired with a curious mindset.
- Basic arithmetic skills capable of handling simple calculations such as percentages, discounts, and markups.
