Role overview
The Real Estate Department Secretary will provide day-to-day administrative and clerical assistance to the real estate team. This position keeps departmental work moving efficiently by handling communication, organizing documentation, arranging meetings, and supporting the unit’s reporting and recordkeeping needs.
Key responsibilities
- Deliver comprehensive administrative assistance to the Real Estate Department.
- Sort, maintain, and control department records, including contracts, agreements, and legal paperwork.
- Draft letters, reports, and presentation material connected to real estate operations.
- Set up meetings, appointments, and property/site visits, and prepare agendas along with meeting notes.
- Manage inbound and outbound phone calls, emails, and official correspondence.
- Track follow-ups on contracts, approvals, and documents with both internal teams and outside parties.
- Keep precise records related to properties, leases, and transactions.
- Support the preparation of lease contracts, renewal papers, and property reports.
- Safeguard confidential information and handle sensitive records appropriately.
- Take on additional administrative duties as assigned by management.
Requirements
- A diploma or bachelor’s degree in Business Administration, or a closely related discipline.
- At least 3 years of experience working as a secretary or administrative assistant, ideally within real estate or a similar field.
- Strong spoken and written English skills; Arabic will be considered an advantage.
- Good working knowledge of MS Office applications, including Word, Excel, PowerPoint, and Outlook.
- Well-developed organization and time-management abilities.
- Careful attention to detail and the ability to manage several tasks at once.
- Professional presentation and strong interpersonal skills.
Additional information
This role is based in Riyadh, Saudi Arabia and is a full-time, onsite position.
