Key Responsibilities
- Deliver extensive administrative assistance to real estate agents and company leadership.
- Create, examine, and prepare legal documents such as contracts, leases, agreements, and NOCs.
- Arrange and coordinate property showings, inspections, appraisals, and transaction closures.
- Handle all incoming and outgoing communications including emails, phone calls, and courier services.
- Organize and maintain both physical and electronic filing systems with confidentiality and accuracy.
- Manage agent RERA license registrations ensuring adherence to Dubai property regulations.
- Keep records compliant with Dubai Land Department, RERA, and the company's internal policies.
- Support documentation and submissions for developer registrations and maintain agent and project registrations with developers.
- Generate and update property listings on CRM platforms and external portals like Property Finder, Bayut, and Dubizzle promptly and accurately.
- Produce weekly and monthly reports outlining property listings, sales activities, and key performance indicators.
- Coordinate with clients, developers, and external vendors to acquire essential documents and approvals.
- Manage the Bitrix CRM by inputting and updating data, generating sales pipeline reports, and conducting regular data quality checks.
Qualifications and Requirements
- At least 3 years’ experience in real estate administration within Dubai.
- Comprehensive knowledge of Dubai's real estate laws and RERA regulations.
- Demonstrated expertise in managing property listings and coordinating transactions.
- Skilled in CRM platforms, specifically Bitrix, and familiarity with major property portals.
- Excellent verbal and written communication capabilities.
- Strong organizational skills with the capacity to handle multiple tasks efficiently under pressure and tight deadlines.
- High discretion with keen attention to detail.
- Experience with document legalization and Ejari registration is advantageous.
- Advanced proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
