Role overview

The Railway Coordinator will handle rail wagon planning and movement management in coordination with Kenya Railways Corporation. The position is centered on ensuring wagons are available on time, loading and shunting run smoothly, and customer deliveries are completed as scheduled.

The role also includes reconciling cargo variances such as damaged or broken bags, working closely with internal and external stakeholders to reduce delays, and keeping precise records that support reliable rail logistics operations.

Key responsibilities

  • Arrange and secure rail wagons according to loading plans and customer delivery timelines while working with Kenya Railways Corporation.
  • Coordinate the positioning of empty wagons, oversee loading, and manage shunting of loaded wagons for dispatch.
  • Create and monitor wagon movement plans, and quickly flag any delays or operational constraints.
  • Work with rail yard personnel, customers, and internal teams to keep loading and dispatch activities efficient.
  • Check cargo quantities and confirm the accuracy of shipping paperwork and waybills before release.
  • Follow shipments through to final delivery, verify proof of delivery, and address any discrepancies or exceptions.
  • Investigate missing, damaged, or broken cargo, identify root causes, and support claims handling and corrective actions.
  • Keep complete and current records, including wagon allocations, movement registers, manifests, and reconciliation documents.
  • Make sure all rail operations comply with procedures, safety standards, and company policies.
  • Review operational results such as turnaround times, delays, and losses, then recommend improvements that raise efficiency and reduce cost.
  • Assist with incident investigations and contribute to ongoing improvement efforts in rail operations.
  • Carry out regular visits to rail yards, loading points, and customer sites to oversee operations and resolve issues on the ground.

Qualifications and experience

  • A diploma or bachelor’s degree in Logistics, Supply Chain Management, Transport Management, Business Administration, or a related discipline.
  • At least 2 to 4 years of experience in rail freight coordination, logistics operations, or multimodal transport.
  • Experience with Kenya Railways or a similar rail network is considered an advantage.
  • Good working knowledge of wagon types, rail operations, shunting processes, and rail documentation.
  • Demonstrated experience with cargo claims, loss and damage reconciliation, and coordination across multiple stakeholders.

Skills and competencies

  • Ability to manage stakeholders effectively and negotiate professionally with internal and external partners.
  • Strong communication and coordination skills to keep information flowing smoothly across teams.
  • Careful attention to detail, especially for verification, documentation, and reconciliation work.
  • Competence in Microsoft Excel, other MS Office tools, and logistics or ERP systems.
  • Strong analytical thinking and problem-solving ability, including decision-making under pressure and tight deadlines.
  • Working knowledge of rail safety standards and transport regulations.
  • Valid driver’s license and willingness to travel as needed for operational support.
