Role overview
The Sourcing & Production Coordinator will help manage the full journey of a product, working with internal teams and overseas vendor partners to keep development and production on track. This position is highly execution-focused and best suited to someone who enjoys structured workflows, data accuracy, spreadsheets, and hands-on coordination.
The ideal background includes 2 to 4 years of experience in sourcing, production, or product development within consumer goods, hard goods, fashion, or accessories. This role involves close work with samples, production schedules, purchase orders, shipping partners, and vendor communication to make sure deadlines and details stay aligned.
Sourcing and vendor support
- Support the sourcing and product development teams with day-to-day administrative and operational tasks.
- Help maintain process documents, manage calendars, and contribute to improvement initiatives.
- Handle the movement of incoming and outgoing samples with factories and collaboration partners.
- Keep the sample room organized and monitor vendor submissions such as fabric and material color approvals, development samples, bulk production samples, and photoshoot samples.
- Prepare product samples for internal cross-functional reviews.
- Work with the sourcing and product development teams to meet weekly deliverables and assist with new initiatives.
- Assist with factory sourcing and price discussions through clear communication and coordination.
- Collect and organize vendor invoices tied to production samples, bulk production, and shipping.
- Maintain vendor contact information and records of factory audits.
Production coordination
- Create UPC codes, carton stickers, carton markings, and polybag labels as needed.
- Prepare purchase orders and review them with the appropriate sourcing team members.
- Keep production records accurate, including SKUs and UPCs.
- Manage purchase order updates and revisions inside internal systems.
- Build understanding of the full bulk production workflow by actively tracking sample-related processes.
- Check packaging specifications and confirm the accuracy of tracking codes, UPCs, and labels.
Logistics and delivery support
- Arrange container bookings through third-party logistics platforms.
- Upload and send ASNs (Advanced Shipping Notices) into internal warehouse systems.
- Track container movement and vessel bookings from factory departure to arrival at U.S. ports.
- Make sure open units are reconciled on schedule to avoid issues in financial reporting.
- Coordinate the submission of shipping paperwork from vendors, including Commercial Invoices and Packing Lists.

- Logistics experience will be considered an advantage.
- Comfort using AI tools to streamline work, improve efficiency, and support scaling.
- Working knowledge of product construction, materials, and manufacturing methods.
- Strong organization skills and a high level of attention to detail.
- Ability to juggle multiple projects, timelines, and priorities at once.
- Excellent written communication for vendor and external partner interactions.
- Solid Excel or Google Sheets skills; ERP experience, especially NetSuite, is a plus.
- Proactive, solution-driven approach and the ability to stay effective in a fast-moving environment.
