Job description

Position Summary

Copley Hospital, located in Morrisville/Stowe VT, is seeking a Scheduler/Admin Assistant to support the diagnostic imaging department. This role involves registering incoming patients and coordinating appointments for all diagnostic imaging services by understanding various imaging modalities. The candidate will ensure all necessary information is available for smooth scheduling and compliance with insurance pre-certifications and medical necessity criteria. Familiarity with medical terminology and clear communication with patients, physicians, and radiologists is essential. Daily tasks include managing office procedures, preparing and distributing reports, and extensive telephone communication with patients regarding appointment scheduling and inquiries.

Shift and Compensation

This position is primarily part-time but full-time and per diem shifts are also available to accommodate different schedules. The compensation ranges from $19.81 to $25.13 per hour, with the exact offer dependent on the candidate's experience.

Key Responsibilities

  • Welcome and professionally communicate with patients and visitors.
  • Schedule patient appointments promptly, provide necessary preparation instructions, and respond to questions.
  • Have thorough knowledge of all radiology modalities to efficiently coordinate examinations.
  • Utilize computer systems including CPSI, Microsoft Word, and the Enterprise Wide Scheduling System.
  • Ensure diagnostic imaging orders meet medical necessity and prior approval standards.
  • Handle insurance requirements related to pre-certifications and medical necessity.
  • Manage retrieval and distribution of reports to relevant departments and external physicians or facilities.
  • Answer department phones professionally and facilitate communication among physicians, radiologists, and technologists.
  • Maintain accurate documentation for all imaging orders and processes.
  • Prepare release forms and films according to HIPAA regulations and maintain the release system.
  • Compile daily physician logs, track film readings, distribute report copies upon request, and direct billing inquiries appropriately.
  • Maintain a clean, organized reception area and ensure availability of necessary supplies.

Qualifications

  • High school diploma with prior medical office experience.
  • Knowledge of medical terminology and experience working within a healthcare environment.
  • Between six to twelve months of relevant experience in similar roles.
  • Strong communication, computer, and organizational abilities.
  • Excellent customer service skills and the ability to maintain confidentiality.
  • Capability to handle multiple tasks effectively.
