Job Overview

We are seeking a Purchasing Administrator to become a key member of our dynamic Purchasing Team located in Galway. This position requires maintaining effective communication between the Purchasing Department and both internal teams and external suppliers. The successful candidate will possess a solid understanding of procurement and supply chain processes and will handle various administrative functions essential to a busy purchasing environment.

Key Responsibilities

  • Process purchase orders and ensure timely progress according to required schedules.
  • Confirm purchase orders and distribute necessary information efficiently within relevant teams.
  • Follow up persistently on outstanding and overdue purchase orders to ensure resolution.
  • Manage inventory levels with an emphasis on minimizing excess stock.
  • Assess and handle returns and damaged product cases appropriately.
  • Adhere to agreed deadlines and timeframes for all tasks and order processing.
  • Build and nurture productive relationships with suppliers and vendors.
  • Monitor supplier performance to ensure quality and reliability in supply.
  • Engage in occasional special projects from the Purchasing Department’s perspective.

Required Skills and Experience

  • Between 1 and 3 years of relevant experience in purchasing or logistics roles is preferred.
  • A degree in Supply Chain Management, Operations Management, Business, or a related field is advantageous.
  • Highly organized with strong administrative capabilities.
  • Proficient negotiation skills to secure favorable terms and conditions.
  • Competent with computer applications including MS Office; experience with SAP or other ERP systems is highly beneficial.
  • Demonstrates a flexible, proactive mindset with a commitment to achieving high standards.
  • Ability to maintain performance under pressure within a fast-moving work environment.
