Role Overview
Reson8 Consulting is looking for seasoned Event Project Managers to support event deliveries in Qatar and Saudi Arabia from September to December 2026. This is a project-based contract opportunity within the events, exhibitions, live show, AV production, and technical event delivery space.
The role suits a professional who can manage projects end to end, from planning and pre-production through build-up, rehearsals, live show operations, and dismantling. You will work closely with clients, vendors, technical specialists, crew leaders, and site operations teams to keep execution on track.
A strong understanding of lighting, sound, video, rigging, staging, scenic work, fabrication, logistics, and event risk controls is essential. The position calls for confident communication, site leadership, rapid problem-solving, and the ability to stay composed in a fast-moving event environment.
Project Planning and Coordination
- Oversee event delivery across all stages, including planning, pre-production, build-up, rehearsal, show days, and strike.
- Interpret the project scope, technical needs, deadlines, outputs, and client expectations.
- Build and maintain schedules, manpower plans, task lists, production trackers, and daily site reporting.
- Coordinate day-to-day with clients, agencies, vendors, venue teams, contractors, and internal production staff.
- Keep all departments aligned with the approved schedule and monitor overall project progress.
- Assist with procurement, vendor coordination, logistics preparation, crew allocation, and site readiness.
- Handle event logistics such as crew transfers, equipment deliveries, transport timing, loading and unloading, venue access, storage arrangements, permits, passes, accommodation coordination, and movement of materials on site.
Technical Event Coordination
- Liaise with technical leads across lighting, sound, video, rigging, staging, scenic, fabrication, power, and show operations.
- Work with the basic technical requirements for AV systems, lighting plans, speaker placement, rigging points, LED screens, projection, truss structures, and stage layouts.
- Review technical drawings, production layouts, build plans, and site execution documents.
- Make sure each technical team has the information, approvals, access, tools, and manpower required to complete its work.
- Spot clashes between departments early and resolve coordination issues before they affect delivery.
Site Leadership and Team Management
- Lead on-site execution and serve as the main coordination point between production, technical, vendor, and client teams.
- Assign tasks clearly to team leads, crew bosses, supervisors, technicians, and site crew.
- Run daily briefings, toolbox talks, task reviews, and end-of-day progress checks.
- Ensure each department understands its duties, deadlines, and reporting line.
- Track crew productivity, site discipline, safety compliance, and the quality of work being delivered.
- Escalate issues quickly and drive timely, clear decisions.
Risk, Safety, and Quality Control
- Identify project risks linked to timing, manpower, technical delivery, rigging, power, weather, venue constraints, vendor delays, and client changes.
- Maintain a live issue tracker or risk register during both planning and execution.
- Work with safety officers, rigging leads, production leads, and venue teams to maintain safe working methods.
- Support risk assessments, method statements, toolbox talks, emergency planning, and incident reporting.
- Ensure build-up, rehearsal, show operation, and dismantling are conducted safely and professionally.
- Make practical on-site decisions that reduce risk and protect the project timeline.
Communication and Reporting
- Keep communication clear and consistent with clients, vendors, team leads, crew bosses, and internal management.
- Share regular updates on project progress, risks, delays, manpower needs, and pending actions.
- Prepare daily progress reports, issue logs, handover notes, and show-day updates.
- Communicate changes clearly so that all affected teams are informed.
- Remain calm and professional when managing pressure or high-stress event situations.
Budget, Timeline, and Deliverables
- Monitor project budgets, vendor expenses, manpower allocation, and approved changes.
- Keep deadlines under control and make sure deliverables are completed according to schedule.
- Support change control by documenting extra requirements, scope changes, and client requests.
- Use project resources efficiently and avoid unnecessary delays or cost overruns.
- Assist with final reconciliation, reporting, and post-event feedback where needed.
Experience and Requirements
Applicants should have at least 5 years of experience in events, exhibitions, live shows, corporate events, AV production, or technical event delivery. Prior work on projects in Qatar, Saudi Arabia, or the wider GCC region is preferred.
You should have a solid grasp of event production workflows, site operations, and technical coordination, along with practical knowledge of lighting, sound, video, rigging, staging, scenic production, fabrication, logistics, and power coordination.
The role also requires experience working with technical leads, crew bosses, vendors, and large on-site teams, plus the ability to read production layouts, technical drawings, event schedules, and site plans. You must be comfortable managing build-up, rehearsals, live show days, and dismantling, while observing safety and risk management standards.
Strong written and spoken English is necessary. You should also be able to work under pressure, meet tight deadlines, and manage client and vendor relationships professionally with clear communication, timely follow-ups, issue resolution, and alignment between expectations, site needs, budgets, and delivery timelines.
Preferred Skills and Candidate Profile
- Background in large-format events, exhibitions, ceremonies, conferences, festivals, or immersive productions.
- Working knowledge of AV systems, lighting fixtures, PA systems, LED screens, projection, rigging structures, and temporary event builds.
- Experience with trackers, production schedules, site reports, risk logs, and action lists.
- Comfort using Excel, Google Sheets, MS Project, Smartsheet, AutoCAD, Vectorworks, or similar planning tools.
- Ability to collaborate with multicultural teams and international clients.
- GCC driving licence is an added advantage.
- Safety training, event safety certification, or first aid training will be beneficial.
- Strong leadership, problem-solving ability, attention to detail, organisation, accountability, and flexibility for evenings, weekends, and show days.
Additional Information
This is a contract role for event project delivery in Qatar and Saudi Arabia. The project duration is from September to December 2026. The work is site-based and may require flexible hours, including evenings, weekends, and live show days.
