Project background
This assignment sits within a security-sensitive, large-scale public sector programme operated in cooperation with an international partner network. The work centres on export management expertise, with a strong focus on reviewing, organising and combining export-related project records. A key objective is to build a clear documentation and tracking framework that supports consistent decision-making and standardised handling of export and rights matters.
The role involves close coordination with multiple European partners and industry stakeholders in a highly regulated setting, where reliable documentation, transparent structures and repeatable processes are essential.
Key responsibilities
- Review and assess past and current export requests and related workflows.
- Organise, consolidate and maintain documentation connected to export activities.
- Develop and expand a reference document for export and rights-tracking procedures.
- Build and update summaries covering completed and active export topics.
- Draft correspondence, coordination notes and communication material for international partners and industry representatives.
- Prepare status updates, management-level presentations and decision-support materials.
- Assist with tracking usage, transfer and export rights.
- Contribute to the implementation and documentation of agreements on rights use.
- Support stakeholder coordination and communications within an international project environment.
- Work on risk, timeline and progress management activities.
Requirements
- Several years of experience in project management or a PMO role within complex programmes.
- Proven background in export management or export-related governance processes.
- Practical experience with large documentation sets and tracking systems.
- Solid understanding of international coordination and stakeholder management.
- Working knowledge of usage rights, exploitation rights and intellectual property matters, including background and foreground information.
- Familiarity with export controls and international regulations such as ITAR is an advantage.
- Strong analytical ability and structured working style.
- Excellent communication skills and high-quality documentation capability.
- English fluency at B2 level or above, ideally C1.
- German language skills are beneficial, as is experience in the public sector or other regulated environments.
