Role Overview

We are seeking a meticulous and highly organized Production Coordinator to bolster the development and manufacturing processes for CultureFly products. This role is crucial for managing project timelines, coordinating sample approvals, maintaining effective communication with manufacturing partners, and ensuring the seamless progression of production according to schedule. This is a full-time, in-office position based in our New York City headquarters.

Key Responsibilities

• Oversee the entire production lifecycle from initial order placement through to final shipment.
• Demonstrate strong organizational capabilities and a proactive, solution-oriented approach to challenges.
• Manage the planning, execution, and follow-up of production orders efficiently.
• Cultivate and maintain strong working relationships with internal teams, including Sales, Product Development, Licensing, and Design.
• Engage in daily communication with factories located in China and Vietnam.
• Process and issue Purchase Orders (POs) and any necessary amendments, and manage Buyer PO Allocations for direct import orders.
• Thoroughly review Vendor Manuals and Program Guides, and clearly communicate retailer-specific requirements to factories, such as carton markings, PDQ specifications, GTIN labels, sample approvals, and RFID tag mandates.
• Actively monitor and ensure strict adherence to seasonal time and action calendars.
• Maintain an Open Order Tracking Chart to guarantee all order stipulations are met punctually.
• Review and approve carton markings for accuracy and compliance.
• Follow up diligently on the timely submission of various samples, including Buyer Samples, TOP Samples, Photo Samples, and PDQ Samples.
• Initiate online Test Request Forms within the designated CTL/UL system.
• Schedule final inspections via Retail Link and promptly address any reported issues.
• Monitor booking and shipment confirmations closely.
• Update the CPV Critical Path status in Retail Link on a weekly basis for each department.

Cross-Functional Collaboration

• Collaborate closely with the Design, Product Development, Licensing, Logistics, and Compliance departments.
• Organize and meticulously maintain all production-related documentation, including test reports, approvals, and purchase orders.
• Prepare necessary materials and product samples for internal meetings and product review sessions.
• Assist in troubleshooting any delays or production challenges to ensure projects remain on schedule.

Qualifications

• Possess 3-5 years of experience in production or manufacturing, with a preference for experience in consumer goods.
• Exhibit strong organizational and project management skills, with the proven ability to manage multiple timelines concurrently.
• Demonstrate clear and professional communication abilities, comfortable corresponding with international suppliers.
• Proficient in Excel and Google Sheets; prior experience with PLM or other project management tools is advantageous.
• Maintain a high level of attention to detail and the capacity to thrive in a fast-paced, deadline-driven work environment.
• Must be able to work full-time on-site at our New York City office.

Additional Information

The salary for this position ranges from $60,000 to $70,000 annually, commensurate with experience.
