Procurement & Supply Chain Specialist

Role Overview

As the Procurement & Supply Chain Specialist, you will be the pivotal procurement coordinator across our group, operating from the United Arab Emirates. Your main duties include transforming ERP system purchase requirements into precise purchase orders for our companies in Austria, Germany, and the UAE. You will also oversee supplier management and negotiations, ensuring seamless order and delivery processes. Moreover, you handle our internal intercompany buying and selling processes, acting as both supplier and buyer internally. You'll join a dedicated purchasing team of three, bringing a methodical, accurate, and dependable approach paired with a solid technical understanding of product structures and specifications, making you integral to our operations.

Responsibilities

• Translate ERP dispositions into accurate purchase orders and place them with appropriate suppliers across all group locations (Austria, Germany, UAE).
• Ensure all articles are correctly configured, prices and conditions updated before placing orders.
• Verify that received order confirmations match purchase orders and update ERP records accordingly.
• Monitor delivery schedules, send reminders, and coordinate any schedule adjustments with inside sales.
• Lead supplier negotiations concerning pricing and discounts, consolidate demands where possible, and identify alternative suppliers as necessary.
• Develop and sustain long-term, trustworthy supplier relationships across Europe and Asia.
• Manage and resolve supplier complaints and claims effectively.
• Serve as the internal intercompany supplier: handle requests, source externally, calculate intercompany margins, and provide quotes to requesting entities.
• Manage complete intercompany order cycles with precise confirmations at each stage.
• Communicate shipment arrivals to logistics teams at Austrian and German locations.
• Coordinate with freight forwarders to organize consolidated shipments.

Requirements

• Demonstrable, practical experience managing the entire purchase-to-order process in an industrial or manufacturing context is essential.
• At least eight years of professional experience in procurement, central purchasing, and order management, preferably within technical or industrial sectors.
• Experience managing both purchasing and intercompany sales roles, ideally from a UAE or Gulf Cooperation Council (GCC) region-based company.
• Strong proficiency with ERP systems such as SAP, Oracle, Microsoft Dynamics/Navision, or similar platforms, with the capability to quickly adopt new systems.
• High discipline in handling data accuracy including checking order confirmations, maintaining master data and pricing, and ERP system upkeep.
• Excellent negotiation aptitude combined with a commercial mindset focused on cost efficiency.
• Deep understanding of global supply chains, trade procedures, and Incoterms.
• Technical background or engineering degree preferred, with knowledge of product materials and specifications, especially industrial plastics, as a plus.
• Advanced skills in Microsoft Office, particularly Excel.
• Independent, organized, and detail-oriented approach ensuring reliable process execution.
• Fluent English communication required; knowledge of German or other languages advantageous.
• Bachelor’s degree preferred.
