Role Summary

As the Procurement and Billing Specialist, you will be central to financial control and operational accuracy across the business. Reporting to the Service Delivery Manager, you will oversee procurement reconciliation, coordinate purchase orders, match vessel voyages with supplier invoices, investigate variances, and allocate costs correctly.

You will also support management with administrative and financial tasks, work closely with internal and external stakeholders, improve visibility on costs, streamline processes, and help ensure reliable financial reporting. Your contribution will help strengthen efficiency and support better decision-making across the organisation.

Key Responsibilities

  • Prepare accurate requisitions and purchase orders to support effective cost control.
  • Identify and resolve cost differences, escalating issues where needed.
  • Work with internal teams to improve cost transparency and operational efficiency.
  • Keep financial tracking tools current and accurate.
  • Serve as the main point of contact for stakeholder queries related to costs.
  • Complete detailed reconciliations for vessel voyages across all ports, including local and disbursement billing.
  • Match disbursement accounts to the relevant voyage.
  • Support the maintenance of centralised key financial data.
  • Assist with financial reporting, contract discussions, and other important tasks to ensure deadlines are met.
  • Maintain clear records and documentation for audits and reporting requirements.
  • Contribute to process improvement, including the evaluation of automation opportunities.

Candidate Profile

The ideal candidate brings at least three years of experience in a similar position. A tertiary qualification in business, accounting, finance, or a related area is preferred.

You should have familiarity with accounting systems such as Xero, SAP, Oracle, or comparable platforms, and procurement experience will be an advantage. Experience reconciling internal systems to verify invoice accuracy is also important.

Strong interpersonal and communication skills are needed to work effectively in complex organisational settings. You should also be confident using MS Office applications, including Word, Excel, PowerPoint, and Outlook.

We are looking for someone with strong analytical and problem-solving ability, a strategic approach, excellent attention to detail, and the flexibility to perform well in a fast-moving, multi-tasked environment.

Additional Details

This is a 12-month fixed-term role based in Auckland. The successful candidate must have the right to live and work in New Zealand at the time of application. A Police Check and/or pre-employment drug test may be required.
