Role overview

This position serves as the primary point person for day-to-day mail handling and delivery operations at the assigned campus mail service area in Gainesville, Florida. The role focuses on keeping mail moving accurately and on time, supporting internal customers, and helping the team maintain safe and efficient service standards.

Key duties

  • Oversee daily coverage of mail routes and make sure accountable items are delivered without delay.
  • Deliver dependable customer service while maintaining strong working relationships across departments.
  • Redirect misrouted mail using directory resources and stay updated on campus organizational and staffing changes.
  • Share observations with the supervisor about route problems, office moves, department additions, personnel updates, and traffic-related concerns.
  • Look for opportunities to improve delivery efficiency and suggest process changes when needed.
  • Complete daily vehicle usage logs and report any maintenance or upkeep concerns.
  • Receive, sort, and distribute U.S. Postal Service mail, Amazon parcels, and departmental mail across campus.
  • Use the QTrak system to monitor and track accountable mail.
  • Count incoming mail each day, including letters, parcels, and internal campus mail.
  • Support the supervisor and senior mail staff in the daily running of all mail operations.
  • Step into supervisory duties when the supervisor is absent, including managing phone calls and operational issues that arise.
  • Develop reports, take on special assignments, and handle other tasks as needed.

Training, compliance, and standards

  • Stay current on mail handling methods, department rules, and university procedures, and help train other employees on these expectations.
  • Follow University of Florida and U.S. Postal Service requirements for receiving and handling hazardous materials.
  • Observe all State of Florida and UF traffic rules.

Schedule and work conditions

The standard schedule runs from 6:00 a.m. to 3:00 p.m., Monday through Friday. The role requires flexibility to adjust hours as needed for campus mail operations, including the possibility of working some Saturdays.

Qualifications

A high school diploma or equivalent is required, along with two years of relevant experience. Related college coursework or vocational/technical training may be accepted in place of some of the experience at an equivalent rate.

Preferred background

  • A bachelor’s degree in a relevant area plus four years of suitable experience.
  • Strong verbal and written communication ability.
  • Proven interpersonal skills and the ability to work effectively in a multicultural setting.

Additional requirements and notices

A valid driver’s license appropriate for the mail service vehicle is required. A health assessment is also required.
