About the Role

V-Tronik Innovation LLP is seeking a dedicated Personal Secretary for Business Development Operations based in Bengaluru, Karnataka. This position is ideal for a female candidate with substantial office assistance and managerial business development experience.

Job Responsibilities

  • Conduct in-depth research on new markets, analyze competitors, and evaluate business deals to spot growth opportunities.
  • Design comprehensive business plans highlighting strategies for market entry, client acquisition, and product development.
  • Build and nurture strong relationships with current clients and develop new client contacts, acting as the company's primary liaison.
  • Coordinate with sales, marketing, and project development teams to ensure aligned and successful implementation of growth initiatives.
  • Lead contract negotiations and close deals that enhance company profitability.
  • Track sales achievements, analyze key performance indicators, and generate detailed reports to identify improvement opportunities.
  • Stay updated on industry trends and market dynamics to maintain competitive advantage.
  • Represent the company at networking events, conferences, and business meetings to foster new business relations.
  • Provide excellent customer service to clients during and after sales transactions.
  • Guide and mentor junior sales team members to elevate their capabilities and overall team output.
  • Manage executive calendars, appointments, and meetings effectively.
  • Handle all correspondence including emails, calls, and mail, drafting communications as needed on behalf of the executive.
  • Organize travel plans including bookings and itinerary management for business and personal trips.
  • Prepare, compile, and maintain reports, presentations, and organized filing systems.
  • Arrange all meeting preparations, record minutes, and ensure executive readiness.
  • Serve as a communication conduit between the executive and clients, suppliers, and staff.
  • Perform miscellaneous administrative tasks including data management, expense tracking, and maintaining office operations.
  • Maintain confidentiality and professionalism when handling sensitive information.

Daily Tasks

  • Monitor and respond to emails via Microsoft Outlook, providing updates to management.
  • Prequalify and document company details using Excel databases as instructed by management.
  • Manage tender bids including receiving, responding, and ensuring prerequisites are met.
  • Send tender inquiries to vendors, OEMs, distributors, and retailers; follow up for quotes and technical clarifications.
  • Prepare commercial and technical comparisons of vendor offers using Excel spreadsheets.
  • Coordinate vendor negotiations and manage follow-up for improved offers.
  • Submit tender bids on time with all required documentation.
  • Follow up with clients on tender bids and monitor competitive positioning.
  • Maintain comparison sheets rating offers from bidders on price and terms.
  • Issue work orders to vendors and track deliveries.
  • Share delivery tracking and project schedules coordinating closely with various managers and departments.
  • Attend meetings with clients and travel locally or outstation as required.

Additional Information

  • Work schedule is six days a week, Monday to Saturday, from 9 AM to 6 PM, with Sunday off.
  • Employment is direct with V-Tronik Innovation LLP, not via any consultancy, with no fees charged.
  • Benefits include ESIC, PF if eligible, insurance, bonus, gratuity, statutory leaves, annual increments, travel allowance, and retention bonus after five years of service.
  • Salary ranges between ₹50,000 and ₹60,000 per month depending on experience.
  • Interview is face-to-face only; no virtual or telephonic interviews will be conducted.
  • Location: Cunningham Road, Vasanth Nagar, Bengaluru-560051, near Vidhan Soudha.

Candidate Requirements

  • Fluent in English with strong spoken and written communication skills.
  • Good typing speed and preferably proficient in Kannada.
  • Proficient with Microsoft Excel features such as VLOOKUP, Pivot Tables, spreadsheet formulas, and Microsoft Outlook email management.
  • Impressive and professional personality.
  • 5 to 10 years of relevant work experience in similar roles.
