Job Purpose
We seek a highly organised, proactive, and professional Personal Assistant to provide extensive administrative and organisational support to senior executives. This pivotal role demands managing complex scheduling, coordinating travel logistics, preparing meetings, and acting as a dependable liaison with key stakeholders. Maintaining utmost confidentiality and professionalism is essential while enabling executives to focus on strategic objectives efficiently.
Key Responsibilities
- Deliver high-level administrative and organisational support to senior leadership, ensuring seamless daily operational assistance.
- Oversee complex diaries spanning multiple time zones and shifting priorities.
- Organise meetings, draft agendas and briefing materials, ensuring executives are well-prepared.
- Monitor meeting adherence and time management to optimise diary efficiency.
- Serve as primary point of contact among executives, direct reports, and wider organizational partners.
- Arrange intricate domestic and international travel including flights, lodging, transport, and detailed itinerary planning.
- Manage expense processing in line with corporate policies.
- Maintain precise physical and digital filing systems.
- Assist with IT and facilities requests, execute miscellaneous administrative tasks, and support general office management.
- Contribute to team initiatives such as Town Halls, department communications, engagement events, stationery oversight, and mail distribution.
Candidate Profile
- Proven experience supporting senior executives (Director level or above) as a Personal or Executive Assistant.
- Superior organisational abilities capable of juggling multiple priorities in fast-paced environments.
- Advanced proficiency in Microsoft Office Suite including Outlook, Word, PowerPoint, and Excel.
- Familiarity with digital collaboration tools like Microsoft Teams, Zoom, and preferably Concur.
- Strong communication and interpersonal skills with meticulous attention to detail.
- Discretion in handling sensitive and confidential information.
- Self-motivated, adaptable, and comfortable taking initiative as situations demand.
- Composed under pressure, skilled in reprioritizing workloads to meet evolving business demands.
- Dependable, flexible, and cooperative with a collaborative spirit, willing to cover for colleagues within the Executive Administration team.
