Role Overview
The Personal Assistant to the Chief Fashion Officer acts as a reliable strategic partner enabling the Chief Fashion Officer to maximize productivity. This role surpasses typical calendar management, demanding outstanding organizational skills, discretion, foresight, and the ability to balance competing tasks in a dynamic fashion environment. The assistant functions as gatekeeper, coordinator, and primary support for daily operations, cross-department communication, travel logistics, meetings, sample oversight, and special projects. Ideal candidates are proactive, resourceful, extremely organized, and have a passion for fashion.
Key Duties
- Administer and prioritize a complex calendar for the Chief Fashion Officer, resolving scheduling conflicts.
- Arrange comprehensive domestic and international travel details including flights, accommodations, visas, itineraries, and expense reconciliation.
- Prepare daily schedules, briefing notes, meeting agendas, and presentation materials.
- Screen communications and requests, maintaining strict confidentiality and prioritization.
- Proactively identify potential needs and address issues promptly.
- Organize product reviews, design presentations, fittings, and trend meetings.
- Manage samples, look books, mood boards, and seasonal product documentation.
- Monitor deadlines for seasonal milestones, market visits, photoshoots, and vendor meetings.
- Support preparations for buying trips, fashion events, and global travel.
- Keep track of multiple projects across design, merchandising, production, marketing, and product development ensuring timelines are met.
- Maintain project trackers, follow up on deliverables, and support the Chief Fashion Officer’s special business initiatives.
- Handle invoices, purchase orders, expense reports, and departmental requests.
- Coordinate meetings, leadership gatherings, and team events.
- Prepare executive reports, presentations, and organize confidential digital files and contracts.
- Serve as a liaison among internal teams and external partners with professionalism.
- Build and sustain strong relationships across organizational levels and external contacts.
Requirements
- Minimum three years’ experience supporting senior executives, ideally within fashion, luxury, beauty, retail, or consumer goods sectors.
- Proven experience assisting C-level leaders is highly preferred.
- Exceptional organizational abilities and time management skills.
- Strong communication skills, both written and verbal.
- Ability to juggle multiple priorities in a fast-moving environment.
- High standards of discretion, confidentiality, and professionalism.
- Advanced knowledge of Google Workspace, Microsoft Office suite, and presentation tools.
Compensation and Benefits
- Annual salary ranging from $90,000 to $100,000.
