Position Overview
A prestigious role is open for a highly organized and discreet Personal Assistant to support a high net-worth individual in Manhattan, NY. The candidate will manage a broad range of executive administration and household responsibilities, requiring excellent judgment, attention to detail, and the ability to operate calmly in a dynamic, fast-paced setting.
Work Schedule and Location
Work is fully onsite, Monday through Friday, from 9:00am to 5:00pm, with occasional requirements for evening or weekend availability depending on the principal's schedule. Residency in mid or lower Manhattan is preferred.
Compensation and Benefits
The role offers a base salary between $100,000 and $120,000 per year (exempt status) plus a discretionary bonus. Key Responsibilities
- Coordinating complex domestic and international travel arrangements, including visa procurement, detailed itinerary creation, and contingency plans such as backup flights and boarding pass tracking.
- Managing detailed and busy social calendars for principals with thorough recordkeeping of itineraries and related documents.
- Overseeing household staff and vendors by managing their schedules, communications, and organizing maintenance or home improvement tasks.
- Handling financial affairs such as medical bill processing, general bill payments, receipt reconciliation, and preparation of expense reports.
- Arranging pet care services, including veterinary appointments, grooming, dog walking, and pet sitting during travel periods.
- Coordinating social engagements including RSVPs, gifting, personal correspondence, and executing personal or professional errands.
- Screening and responding to mail, phone calls, and emails with appropriately tailored communication for recipients.
- Managing the logistics of select personal and family meetings and events.
- Providing detailed written updates on household projects and compiling personal expense reports.
Qualifications and Requirements
- At least three years of experience working as a Personal Assistant for a high net-worth individual.
- Exceptional organizational skills with a strong focus on data entry discipline and information management across various systems.
- Proven capability to develop structured business processes and reminder systems.
- Excellent written communication skills paired with absolute discretion in handling sensitive personal and professional information.
- Self-motivated and able to anticipate and resolve potential issues independently, demonstrating accountability through documentation and proof of work.
- Possession of a valid Driver’s License and physical ability to perform occasional light lifting.
- Comfortable working with dogs and not allergic to them.
- A calm and low-key demeanor supporting effective work both onsite and remotely while maintaining critical connectivity with meetings and stakeholders.
- Eligibility to work legally in the United States is mandatory.
