About the Role

Our client, a prominent investment platform, seeks a highly capable Traveling Personal Assistant to provide dedicated support to their Founder within a private family office setting. This role demands a hands-on, adaptable professional comfortable with extensive global travel and an ability to maintain discretion at the highest level. Positioned as a core member of a close-knit support team, working alongside the Chief of Staff and Executive Assistant, the Personal Assistant ensures the smooth execution of the Principal’s daily affairs across multiple international homes.

Key Responsibilities

  • Accompany the Principal during frequent travel engagements, accumulating about 400 flight hours yearly, mainly on private jets.
  • Manage live logistical coordination including accommodations, transportation such as flights, trains, ferries, and ground transit both domestically and abroad.
  • Oversee smooth location transitions, managing luggage handling and physical aspects associated with high-frequency travel.
  • Deliver discreet, premium support during social functions and travel to uphold comfort and confidentiality.
  • Perform personal errands, fulfill unique requests globally, and assist in group or family trip arrangements with professionalism.
  • Serve as the central communication hub providing real-time updates to the broader team.
  • Maintain exceptional organization and responsiveness, managing administrative duties tied to travel and personal logistics promptly and precisely.

Candidate Profile

  • Proven experience in personal assistant roles with a strong travel coordination background, ideally involving private aviation exposure.
  • Holds an active, unrestricted passport and a valid driver’s license, comfortable driving internationally.
  • Thrives in fast-paced, mobile environments demanding flexibility and quick thinking.
  • Exhibits high organizational skills, sound judgment, discretion, and situational awareness.
  • Possesses strong interpersonal skills and an ability to integrate seamlessly into diverse social settings.

Compensation & Benefits

  • Annual base salary ranging from $150,000 to $175,000.
  • Discretionary bonuses typically between 10-20%, including a summer bonus upon completion.
  • Comprehensive healthcare coverage fully paid by the employer, along with dental contributions and optional vision plans.
  • 401(k) plan with a 3% employer match.
  • Leave entitlement of 10 paid time off days plus 5 sick days, coordinated with travel demands.
  • Additional benefits such as spot bonuses and occasional leisure time sponsored by the Principal during travel off-periods.

Work Environment & Conditions

  • Extensive international travel with peak seasons that may involve up to two consecutive months away.
  • Travel is frequently required on weekends and holidays.
  • Roughly half the year (~6 months) is based in New York, splitting time between the office and a secondary residence.
  • Close collaboration with household staff and the wider family office team.
  • Opportunity for lighter or remote work periods depending on the Principal’s schedule.
