Role Overview
This opportunity is for a highly organized and proactive Executive Personal Assistant who will support the Director of New Business Development. The position is fully remote for candidates based in Latin America and is designed for someone who can work independently, stay ahead of priorities, and keep daily operations moving efficiently.

Work Arrangement
This is a full-time remote role based in Latin America. The schedule runs Monday to Friday from 8:30 AM to 5:30 PM EST.
Compensation
The monthly pay range is USD 1,500 to USD 2,000.
What You Will Handle
You will act as a trusted support partner to the Director, managing calendars, communication flow, travel planning, document preparation, scheduling, record keeping, and business coordination. The role also includes helping monitor projects, sales and purchase orders, customer interactions, and follow-up activities so that priorities stay organized and on track.
Day-to-Day Duties
- Organize the director’s calendar, appointments, and daily priorities.
- Review, sort, and reply to emails, calls, and other correspondence as needed.
- Protect sensitive information and handle it with a high level of discretion.
- Draft, polish, and format professional documents, presentations, reports, and spreadsheets.
- Arrange travel within the country and abroad, including lodging and itineraries.
- Set up meetings with customers, suppliers, and strategic business partners.
- Follow project timelines, action items, and follow-up tasks to keep initiatives on schedule.
- Track open orders, customer communication, and business development activity.
- Enter sales orders and purchase orders carefully and accurately.
- Maintain CRM data, customer records, digital files, and internal business documentation.
- Research opportunities and compile information for meetings, projects, and new business efforts.
- Help with trade show planning, logistics, scheduling, and post-event follow-up.
- Support general administrative work and data entry to improve accuracy and efficiency.
Required Background
A bachelor’s degree is preferred. Candidates should have at least 3 years of experience in an Executive Assistant, Personal Assistant, Administrative Assistant, or similar support role. Strong English communication skills are essential, with C1 level or above preferred. The role also requires advanced use of Microsoft Outlook, Excel, and Word, along with excellent organization, time management, follow-through, professionalism, and the ability to work independently while managing multiple deadlines.
Preferred Experience
Extra value will be given to applicants with experience in international trade, import/export operations, global logistics, ocean freight, shipping documentation, customs, supply chain coordination, food ingredients, agricultural commodities, executive support, CRM or ERP systems, and event or trade show coordination.
