About the Role

Weinberger Lawyers, a growing commercial law firm located in Martin Place, Sydney, specialising in complex property, commercial, and litigation matters, is looking for a highly organised and proactive Personal Assistant to provide comprehensive support to the Chief Operating Officer (COO) and assist the wider team as needed.

Key Responsibilities

  • Manage the COO’s emails, calendar, appointments, and schedules efficiently.
  • Conduct online research on various topics such as awards, events, memberships, suppliers, and business opportunities, then prepare clear summaries and actionable recommendations.
  • Support award submissions, applications, and other written documentation preparation.
  • Coordinate meetings, events, suppliers, and external services to ensure smooth operations.
  • Assist with projects and operational activities across different business areas.
  • Compose and respond to basic correspondence and draft necessary documents.
  • Format materials and provide assistance with written tasks.
  • Transcribe dictations and aid in fundamental legal administrative functions.
  • Organise and maintain filing systems, documents, and records meticulously.
  • Support the broader team by handling various administrative duties when required.
  • Perform practical errands outside the office, including picking up items, visiting the post office, buying gifts, arranging deliveries, shopping, or collecting dry cleaning to assist business operations and the COO.

Additional Team Assistance

Though primarily assisting the COO, you may occasionally help the Principal Lawyer’s Personal Assistant during busy periods to manage overflow tasks and maintain the smooth running of the firm’s priorities.

Candidate Profile

  • Extremely organised with strong attention to detail.
  • Proactive in anticipating needs without prompting.
  • Confident to take initiative and make decisions within assigned responsibilities.
  • Trustworthy, discreet, and dependable.
  • Able to juggle several priorities simultaneously.
  • Strong written communication skills.
  • Skilled at quick and effective online research and synthesising information clearly and logically.
  • Resourceful, practical, and solution-oriented.
  • Adaptable to changing priorities and varied tasks.
  • Previous experience in administration, executive support, customer service, or operational roles is preferred; legal experience is not mandatory.
