Team and role context
You will join the Risk, Regulatory & Forensic (RRF) team within Deloitte’s Strategy, Risk & Transactions business unit, supporting Partners based in Auckland. The role suits someone dependable, discreet, and highly organised, who can help keep operations running smoothly so the wider team can deliver strong outcomes for clients.
The RRF team provides end-to-end risk, regulatory, and forensic advisory support, including advice on fraud, financial crime, and misconduct-related issues.
Role summary
As a Personal Assistant, you will provide proactive administrative and operational support to the Auckland-based RRF Partners. You will work closely with the Partners, as well as with other personal assistants, internal stakeholders, and the wider team. The position calls for sound judgement, professionalism, discretion, and the ability to stay effective in a busy environment.
Your work will cover administration, scheduling, document preparation, system updates, event coordination, travel, and broader practice support.
Key responsibilities
- Deliver daily administrative support to Partners and help manage their workload effectively.
- Maintain complex calendars, organise meetings, prioritise commitments, and resolve scheduling clashes ahead of time.
- Liaise with clients and internal teams, including assisting with client-facing events.
- Draft standard correspondence and ensure replies are handled within the required timeframe.
- Prepare, polish, and finalise documents, presentations, proposals, and reports to Deloitte brand standards, including proofreading.
- Support finance and operations tasks, including maintaining records in internal systems.
- Update and manage information in Swift, Jupiter, iManage, and Concur, and assist with expense processing and credit card reconciliations.
- Help engagement teams with invoicing and fee-related processing when required.
- Arrange local and international travel, including itineraries and urgent changes.
- Coordinate meetings, book rooms, manage invites, and handle onsite logistics.
- Support onboarding and offboarding tasks such as equipment, access, profiles, photos, and induction steps.
- Order and monitor stationery and other office supplies.
- Log and follow up on IT, printer, and other technical support issues.
- Assist with events, programmes, and internal initiatives, including venues, catering, materials, and supplier coordination.
- Support business development activity through invite management, CRM reporting, and coordination help.
- Assist with training sessions, workshops, and practice-related programme logistics.
- Coordinate gifting and recognition activities in line with agreed processes.
- Provide planning support to Partners and respond to ad hoc requests.
- Step in to cover other Personal Assistants during leave or peak workload periods.
