About the Role
Air Charter Service is seeking a motivated, organised, and proactive Personal Assistant and Team Coordinator to support the Product Director of Luxury Travel. Working closely with the Director as well as the Client Experience and Jetcard departments, this role involves promoting effective collaboration, ensuring communication clarity, and facilitating smooth progress of projects throughout the organisation.
Key Responsibilities
- Deliver proactive administrative and diary management support for the Product Director – Luxury Travel.
- Assist the Client Experience and Jetcard teams with daily administrative and coordination tasks.
- Schedule meetings, create agendas, record minutes, and follow up on action points.
- Coordinate multi-team and cross-departmental projects and initiatives.
- Compile reports, presentations, and updates for team communication.
- Track actions and deadlines to maintain focus on key priorities.
- Develop strong working relationships with colleagues and stakeholders across the business.
- Identify and suggest improvements to processes for operational excellence.
- Offer flexible administrative support as required and contribute wherever needed.
Qualifications and Skills
- Proven experience in administrative roles is essential.
- Background as a Personal Assistant, Team Coordinator, or similar support capacity is advantageous but not mandatory.
- Excellent organisational abilities and capacity to manage multiple competing priorities effectively.
- High attention to detail with a proactive, problem-solving attitude.
- Able to perform in a dynamic, fast-paced setting and adjust to shifting priorities.
- Strong interpersonal skills, able to confidently engage stakeholders at various levels.
- Experience managing diaries and organizing meetings is preferred.
- Proficient in Microsoft Office suite including Outlook, Word, Excel, and PowerPoint.
- Team-oriented and willing to engage actively in supporting colleagues.
- Eager to learn, take ownership, and continuously seek process improvements.
Additional Information
- Starting salary up to £40,000 per year.
- Annual leave starts at 22 days, increasing to 25 days after one year of service; further increases based on length of service.
