Job description
About the organisation
Bruntwood is a commercial property specialist with operations across England. Its work goes beyond providing office, coworking, retail and laboratory space, with a clear focus on helping create successful cities and supporting businesses to grow. The business also has a strong community and sustainability focus through its wider brand and portfolio.
The role sits within a People & Talent team supporting Unify by Bruntwood Cleaning, a business currently experiencing rapid growth. You will work alongside specialists across People Advisory/Partnering, Recruitment, Learning & Development, and Culture & Engagement.
About the role
This position is centred on keeping people systems, processes and administration running smoothly across the employee journey. You will provide first-line support to colleagues and managers, help maintain accurate records, and play a key part in making internal processes simpler, quicker and more effective.
The ideal person is proactive, flexible and comfortable taking initiative. A strong interest in technology, process improvement and structured ways of working is important. Experience with HR systems would be helpful, though it is not essential. A solid understanding of HR, compliance and confidentiality would be an advantage, but the role also offers scope to learn and develop.
Key responsibilities
- Manage everyday administrative tasks across the full colleague lifecycle, from onboarding through to offboarding.
- Ensure people policies and practices are followed accurately, consistently and within required timelines.
- Act as the first point of contact for People & Talent queries, offering practical guidance and directing colleagues to the right specialist where needed.
- Partner with line managers and the wider People team to keep employee records accurate, including payroll details, personal data, benefits, leavers, training, performance information and turnover data.
- Support audits by reviewing policies, procedures, practices and processes, using a data-led approach to organise, clean and improve information.
- Look for ways to streamline work and continuously improve how the team operates so that processes save time and add value.
- Provide support for people systems, including troubleshooting queries and maintaining data accuracy.
- Coordinate learning activity, including room and lunch bookings, communications with attendees, pre-work distribution, feedback collection and liaison with learners and suppliers.
- Help produce reports, insights and data for the wider team.
- Support cyclical people activity such as system audits and changes, pay review administration, and large-scale colleague change projects requiring system updates or employee letters.
- Ensure compliance requirements are met, particularly in relation to right to work, GDPR and training completion.
- Welcome new joiners, support the onboarding journey and help deliver the new starter induction.
- Assist People Advisors and People/L&D Business Partners with first-line enquiries, process walkthroughs and note taking in meetings.
Requirements
- You should be a proactive, adaptable self-starter who enjoys responsibility and working through challenges.
- Strong organisational skills are important, as the role involves handling a busy inbox and multiple priorities.
- Comfort with systems and technology is valued, and previous experience using HR systems would be beneficial but is not a must-have.
- You should have an interest in improving processes and finding better ways of working.
- Some awareness of HR, compliance and data confidentiality is helpful.
- You need to be inquisitive, detail-conscious and able to keep data accurate and well managed.
- A service-oriented mindset is essential, with a willingness to find solutions and support colleagues effectively.
Benefits
- 28 days of annual leave, plus your birthday off, with the option to buy and sell holiday.
- 24 hours of volunteer time each year to support causes you care about.
- Opportunity to take a sabbatical of up to 12 months after five years of service.
- Healthcare cash plan covering expenses such as optical, dental and physiotherapy costs, plus private healthcare cover available on an opt-in basis.
- Life assurance for all colleagues.
- Matched pension contributions of up to 8%.
- Retail discounts and cashback offers.
- Interest-free learning loans to support further development.
Additional information
The business also supports charitable giving through the Oglesby Charitable Trust, which has donated more than £30 million since 2001 to causes across Arts and Culture, Education, Environment, Medical Research, and Social & Health Inequality.
