Role Overview

We are seeking a People & Culture Coordinator to join our dynamic team and support the daily operations of our People & Culture division. This role is ideal for HR Coordinators, HR Administrators, or aspiring HR professionals eager to manage essential HR tasks, provide dependable administrative backup, and develop their careers in a fast-moving and cooperative workplace.

You will collaborate closely with employees, supervisors, payroll administrators, and leadership teams, promoting a consistent and positive employee journey from onboarding to departure.

Key Responsibilities

  • Maintain confidential and precise employee records along with digital personnel files.
  • Prepare essential employment paperwork such as offer letters, contracts, onboarding materials, and employee status change letters.
  • Monitor employee certifications, licenses, training logs, and compliance documents.
  • Update and maintain HR templates, policies, forms, and documentation libraries.
  • Assist in revising HR resources as part of departmental efforts.
  • Ensure accuracy in employee data across HR, payroll, and internal platforms.
  • Manage onboarding procedures and related documentation for new hires.
  • Track onboarding checklists and follow up on outstanding tasks.
  • Support recruitment activities, including job advertisements, resume screening, interview coordination, and candidate communication.
  • Handle promotions, transfers, salary alterations, and other employment changes through precise documentation and system updates.
  • Manage offboarding paperwork, exit formalities, and employee file closure.
  • Assist with bi-monthly payroll preparation by ensuring correct employee information, status updates, audits, and documentation.
  • Address routine employee queries regarding payroll, benefits, leave, and HR programs, escalating when necessary.
  • Support benefits enrollment, modifications, terminations, and leave management.
  • Collaborate closely with Payroll to verify the accuracy and timeliness of employee data changes.
  • Act as the primary contact for general HR inquiries.
  • Assist supervisors with onboarding, policy clarification, documentation, and administrative tasks.
  • Support employee engagement initiatives, recognition programs, and internal communications.
  • Coordinate training enrollments, reminders, and monitor attendance.
  • Provide administrative aid for the Occupational Health & Safety program, including maintaining WorkSafeBC documentation and related tasks.
  • Organize materials, minutes, and records for the Joint Health & Safety Committee meetings.
  • Support documentation management related to workplace inspections, incident reporting, investigations, and corrective measures.
  • Track safety training and certification requirements diligently.
  • Maintain controlled versions of HR documents and templates in SharePoint.
  • Contribute to improving HR processes, systems, and workflows as capacity permits.
  • Assist with HR projects and departmental initiatives as required.
  • Ensure consistency and accuracy throughout People & Culture programs and practices.

Qualifications and Experience

  • Diploma, degree, or formal education in Human Resources or a related field.
  • Between 2 to 3 years of experience working in HR coordination, administration, or a comparable position.
  • Familiarity supporting onboarding, employee records management, payroll functions, or benefits administration.
  • Solid understanding of confidentiality principles and effective employee record keeping.
  • Proficiency with Microsoft 365 suite, including Outlook, Excel, Teams, and SharePoint.
  • Outstanding attention to detail paired with strong organizational capabilities.
  • Excellent written and verbal communication abilities.
  • Ability to prioritize multiple tasks in a deadline-oriented environment.
  • A proactive, problem-solving attitude coupled with a willingness to learn and grow.
