Covenant House Toronto is a mission-led non-profit that supports young people experiencing homelessness, trafficking, or the risk of either. The organization provides a broad continuum of care, including crisis shelter, transitional housing, health and wellness supports, skills training, and ongoing assistance as youth move toward independent living. Role summary
The People & Culture Administrator will support the daily operations of the People & Culture function. This position plays an important role in keeping HR administration accurate and efficient, strengthening employee experience, and helping ensure the organization’s policies, systems, and records are managed properly. This is a full-time, permanent Level 5 position, and it is a replacement opening within the department.
Administrative support and records management
- Keep employee records, personnel files, and HR databases current and accurate.
- Carry out monthly and quarterly system audits.
- Prepare HR documentation such as employment letters and keep employee files organized.
- Handle filing, data entry, and other routine administrative work.
- Support Board Reports and other reporting deliverables.
- Manage and organize the People & Culture SharePoint site and related data.
- Produce timely administrative reports and workforce statistics for management.
- Maintain accurate logs and records for visa and expense tracking for the Chief People & Culture Officer and Director.
Payroll and benefits support
- Assist the People & Culture Specialist with audits and reporting tasks.
- Complete monthly VSC and Back Check audits.
Employee support and engagement
- Act as a primary contact for general HR questions.
- Provide guidance on HR policies and procedures.
- Help coordinate employee engagement activities and organizational events, including EDI-related events.
- Contribute to a respectful, inclusive, and values-based workplace environment.
Compliance, reporting, and safety
- Support HR practices that align with employment legislation and internal policies.
- Maintain confidentiality and follow proper documentation standards.
- Assist with audits, reporting, and HR documentation tied to grants.
- Help with health and safety tracking and reporting where required.
- Support minute-taking for the Joint Health & Safety Committee.
HR systems and process improvement
- Maintain the HRIS and ensure data integrity.
- Prepare basic HR reports such as headcount and turnover.
- Help identify opportunities to improve HR processes and administrative efficiency.
Qualifications
Applicants should have a post-secondary diploma or degree and 2 to 3 years of experience in an HR Administrator role or a similar position. Strong database skills are important, along with proficiency in Microsoft Office Suite, including intermediate Excel, and HRIS platforms. Experience with Payworks is considered an asset. The role also requires excellent communication, time management, and administrative skills, plus the ability to manage sensitive information discreetly. The successful candidate should be self-directed, able to work independently and collaboratively, and have strong verbal and written communication skills.
