Role Overview

This position is responsible for managing and owning the entire onboarding and offboarding lifecycle across the firm. The specialist works closely with People & Culture Leadership, IT, Payroll, Operations, and senior management to ensure smooth employee transitions and maintain operational consistency within a multi-state setup. The role demands excellent organizational skills, proactive problem-solving, strong communication, and the ability to handle multiple tasks effectively in a fast-paced, remote-first environment.

Key Responsibilities

  • Lead the onboarding process from the time an offer is accepted through an employee's first 90 days, ensuring a welcoming and organized experience.
  • Act as the main contact for new hires during onboarding and orientation phases.
  • Arrange onboarding schedules, orientation sessions, required documentation, and first-day logistics by collaborating with relevant departments.
  • Coordinate with Learning & Development, IT, Payroll, Operations, and leadership to guarantee onboarding readiness, such as system access and equipment setup.
  • Manage offboarding activities from employee notice to separation, handling documentation, system access removal, and equipment collection.
  • Conduct exit and stay interviews, analyze feedback, and support continuous process improvements in onboarding and offboarding.
  • Create, maintain, and enhance standard operating procedures, workflows, documentation, tracking systems, and relevant resources for onboarding and offboarding.
  • Keep precise records and dashboards for onboarding and offboarding processes, providing visibility and reporting.
  • Identify inefficiencies or gaps in current processes and suggest actionable improvements to increase effectiveness and consistency.
  • Assist with internal employee transitions, organizational changes, and People & Culture initiatives as needed.
  • Support the creation and maintenance of onboarding-related training materials and resources.
  • Collaborate closely with People & Culture Leadership and cross-functional teams to uphold smooth employee transition procedures.
  • Apply sound judgment in routine onboarding/offboarding matters and escalate complex issues involving policies, compliance, or employee relations risk.
  • Maintain strict professionalism, confidentiality, and discretion when handling sensitive employee information.
  • Perform additional duties as assigned to support organizational and departmental objectives.

Candidate Requirements

  • Must be equipped to work remotely with a dependable internet connection and a functional home workstation supporting standard business hours.
  • Minimum education of a high school diploma or equivalent, plus at least four years of relevant experience in onboarding, offboarding, HR coordination, People Operations, or similar areas.
  • Bachelor’s degree in Business, Human Resources, Psychology, Humanities, or related field is preferred.
  • Proven track record managing onboarding and offboarding workflows involving multiple stakeholders.
  • Experience within legal, professional services, or fast-growing multi-state organizations is advantageous.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe, Zoom, and familiarity with HRIS, onboarding platforms, or electronic personnel record systems.
  • Exceptional attention to detail, organizational skills, and follow-up capabilities.
  • Ability to juggle numerous priorities, deadlines, and cross-department coordination in a dynamic environment.
  • Excellent verbal and written communication skills.

Benefits and Additional Information

  • Salary range for locations including GA, VA, CO, and TX is $31.25 to $38.46 per hour, subject to adjustment based on factors such as experience and location.
