This role focuses on scheduling provider visits for patients in Pediatric Specialty Centers. The scheduler handles appointment referrals coming from internal providers and supports everyone involved in the referral workflow. The position works closely with providers and front-line team members to make sure scheduling is accurate, timely, and effective for the department.
Responsibilities
- Build and maintain clinician schedules and templates, including updates and closures based on expected clinic changes.
- Adjust templates when requested by specialty teams, department providers, or leadership.
- Coordinate with the clinical team to book appointments according to department rules.
- Select the correct visit details, including patient information, visit type, appointment length, and specialty provider.
- Add relevant details to appointment notes.
- Handle urgent add-on appointments when needed.
- Support pre-authorization activities as needed.
- Confirm patient appointments when required.
- Maintain waitlists and regularly review recall lists for upcoming visits.
- Check schedules each day for openings and contact patients to offer earlier appointment times.
- Follow up on missed appointments based on provider guidance.
- Carry out rescheduling and other scheduling-related tasks as needed.
- Help patients, providers, and staff with telehealth visits.
- Perform general clerical work and other duties that support smooth communication, timely scheduling, and a better patient experience.
Qualifications
A high school diploma or GED is required. Candidates should have 1 to 2 years of experience in a customer service setting, ideally in a hospital or physician office with a focus on scheduling. Strong self-management, organization, interpersonal ability, and teamwork are important. Basic computer skills and comfort learning different software systems are also needed. The role calls for someone who can balance appropriate intervention with collaboration among patients, clinical staff, and leadership to support high-quality care.
