Role Overview
We are seeking a skilled Payroll Specialist with extensive hands-on experience managing payroll operations for Sweden and Norway. This is a key role emphasizing actual payroll calculations, compliance with statutory requirements, reconciliation tasks, and resolving complex payroll cases rather than just coordination. The successful candidate will be integral to ensuring accurate, compliant, and employee-centered payroll services within the Global HR Operations department.
Key Responsibilities
- Manage the entire monthly payroll cycle for Sweden and Norway including input verification, payroll validation, variance analysis, approval facilitation, and post-payroll reconciliation.
- Apply comprehensive knowledge of Swedish and Norwegian payroll laws including taxation, social security, pensions, benefits, leave entitlements, terminologies, and statutory reporting.
- Critically review payroll computations performed by external vendors and assert ownership of payroll accuracy.
- Ensure payroll data aligns with employment contracts, collective bargaining agreements, company policies, and local legislation.
- Conduct detailed gross-to-net payroll reconciliations, control audits, retroactive adjustments verifications, and diagnose discrepancies.
- Handle complex payroll scenarios such as retroactive salary changes, leave rectifications, benefits, pension modifications, off-cycle payments, overpayments, and termination settlements.
- Collaborate with HR, Finance, Rewards, and employees to clarify payroll results and resolve queries with sound technical insight.
- Maintain payroll calendars, control measures, process documentation, and compliance records for Sweden and Norway.
- Contribute to enhancing payroll processes, automation, vendor governance, and strengthening control frameworks across Nordic payroll operations.
Required Qualifications and Experience
- A minimum of 6–7 years practical payroll processing expertise with substantial direct responsibility for Swedish and Norwegian payroll payrolls.
- Thorough understanding of local payroll taxation, social security systems, pension schemes, labor laws, collective bargaining agreements, and leave policies.
- Experience in analyzing payroll calculations within payroll systems and using HRIS systems, preferably Workday; familiarity with case management tools such as ServiceNow is advantageous.
- Strong analytical capability including proficient Excel skills for payroll reconciliation and variance investigation.
- Proven experience in working alongside third-party payroll vendors while maintaining full ownership of payroll accuracy and compliance internally.
- Capacity to independently resolve payroll issues through practical investigation and collaborative solutions across departments and countries.
- Confidence in managing detailed payroll questions without escalating unnecessarily.
- Track record of improving payroll controls, process documentation, and sharing knowledge within teams.
