Role overview
Aptean is hiring a Payroll Specialist for the DACH region to join its HR team in Mannheim. The position focuses on coordinating monthly payroll for German and Austrian entities, ensuring payroll updates and statutory obligations are handled accurately and within deadlines. You will work closely with internal HR colleagues, Finance, and external payroll partners to support compliance, audit readiness, and a smooth employee payroll experience.
Key responsibilities
- Collect and pass on all payroll-related updates to the external payroll provider, including new starters, departures, pay revisions, and special payments.
- Work with the payroll service provider, check trial payroll runs, and share corrections where needed.
- Act as the main contact for employee questions related to payroll and prepare employment confirmations and final payslips.
- Prepare monthly, quarterly, and yearly payroll reports for internal use.
- Handle administrative follow-up work such as correspondence from health insurers, pension authorities, and similar institutions.
- Partner with Finance and HR on reporting, as well as internal and external audit support.
- Support transition-related activities, including onboarding newly acquired entities or moving to a new payroll system.
- Perform other general administrative tasks within the HR function as required.
What you should bring
The ideal candidate has practical experience handling payroll for Germany and Austria and is comfortable working with external payroll providers. A strong grasp of DACH payroll laws, social insurance rules, and statutory reporting expectations is important, along with familiarity with payroll and HR systems. You should be fluent in both German and English, written and spoken. The role also calls for excellent organisation, time management, communication, accuracy, confidentiality, and the ability to work independently while contributing effectively to a team. Strong prioritisation skills are needed to manage several tasks at once, and you should be able to take a logical, analytical approach to identifying and solving problems.
