Role Overview
The Payroll & Benefits Administrator will be an essential part of the People Operations team, primarily responsible for managing comprehensive payroll processing and benefits administration. This role focuses especially on California employees, where precise adherence to wage-and-hour laws is critical. The administrator will utilize UKG platforms to ensure timely, accurate payroll and efficient management of employee benefits.
Key Responsibilities
- Handle semi-monthly payroll processing for all staff using UKG Pro and Workforce Management systems, ensuring compliance with relevant laws and accuracy.
- Conduct payroll audits to identify and correct discrepancies before pay cycles close.
- Address employee inquiries related to payroll promptly and resolve any issues efficiently.
- Manage payroll concerns involving taxes, garnishments, and system settings.
- Assist managers with payroll queries, including timecard reviews, approval workflow management, and resolving UKG timekeeping issues.
- Administer employee benefits programs, oversee enrollments, life events, terminations, and manage carrier files.
- Maintain precise employee records covering pay rates, deductions, and tax withholdings within UKG.
- Support year-end processes such as W-2 preparation, commission documentation, and financial reconciliations.
- Oversee 401(k) plan administration, including regular reporting, reconciliation, and compliance analysis.
- Undertake additional responsibilities as required by business needs.
30-90 Day Success Milestones
- Complete UKG onboarding and independently process full payroll cycles with supervision within 30 days.
- Within 60 days, confidently execute payroll with minimal oversight, applying California-specific regulations and proactively flagging issues.
- At 90 days, fully manage payroll processing end-to-end, resolve discrepancies independently, and maintain statewide compliance.
- After one year, demonstrate consistent on-time, accurate payroll outcomes, contribute to process enhancements, and serve as a trusted resource on California payroll matters.
Ideal Candidate Profile
- Minimum of two years' experience in payroll processing with full-cycle familiarity.
- Proficiency using UKG (UltiPro or UKG Pro), Kronos, or similar HRIS/payroll platforms.
- Strong understanding of California payroll laws including overtime, meal/rest break premiums, and final pay rules.
- Knowledgeable about federal payroll compliance encompassing FLSA, tax, and W-2 reporting.
- Advanced skills in Excel or Google Sheets for data reconciliation and payroll audits.
- Detail-oriented with the ability to identify and resolve discrepancies efficiently.
- Effective critical thinking and problem-solving capabilities.
- Associate degree or higher in Accounting, Business, or related discipline, or equivalent professional experience.
- Experience with multi-state payroll operations is preferred.
Compensation and Benefits
The annual salary for this position ranges from $68,000 to $80,000.
