Role Overview

As a Payroll & Benefits Administrator at SonderMind, you will be part of the People Operations team responsible for managing full payroll processes for a growing employee base, with emphasis on California payroll due to its intricate wage and hour laws. You'll handle payroll mainly using the UKG system, ensuring timely salary payments and efficient benefits handling.

Key Responsibilities

  • Execute semi-monthly payroll processing for all employees utilizing UKG Pro and Workforce Management systems, adhering strictly to applicable state wage and hour legislation.
  • Conduct thorough audits of payroll data to identify and rectify errors before finalizing each pay cycle.
  • Address payroll inquiries from employees promptly and resolve any issues.
  • Manage payroll-related matters including taxes, garnishments, and system settings.
  • Assist managers with payroll concerns such as timecard reviews, approvals, and UKG timekeeping troubleshooting.
  • Administer employee benefits including enrollments, life events, terminations, and communication with benefit carriers, acting as first contact for benefit-related questions.
  • Maintain accurate payroll records in UKG regarding pay rates, deductions, and tax withholding.
  • Support year-end activities like W-2 preparation, commission letter management, and account reconciliation.
  • Oversee 401(k) plan administration, including report analysis and ensuring compliance.
  • Perform additional duties as required aligned with business needs.

Performance Milestones

  • Within 30 days: Complete UKG onboarding; independently process a full payroll cycle with guidance ensuring baseline accuracy.
  • Within 60 days: Process payroll with limited supervision, correctly applying California-specific regulations and proactively managing exceptions.
  • Within 90 days: Fully manage end-to-end payroll independently with reconciliation and compliance maintained across states.
  • Within 1 year: Achieve consistently accurate, punctual payroll and compliance; contribute process improvements; and act as reliable resource on California payroll matters within the team.

Candidate Profile

  • Over 2 years of direct full-cycle payroll processing experience.
  • Familiar with UKG (UltiPro or UKG Pro), Kronos or similar HRIS/payroll platforms.
  • In-depth understanding of California payroll laws including overtime, meal/rest breaks, and final pay.
  • Knowledgeable in federal payroll compliance (FLSA, taxes, W-2).
  • Proficiency using Microsoft Excel or Google Sheets for payroll audits and data reconciliation.
  • Strong attention to detail with ability to detect and correct payroll discrepancies.
  • Excellent analytical and problem-solving capabilities to address payroll challenges.
  • Associate degree or higher in Accounting, Business, or related field, or equivalent experience.
  • Experience handling multi-state payroll processes is preferred.

Salary & Benefits

This position offers an annual salary ranging from $68,000 to $80,000.
