Role Overview
We are currently seeking a skilled Payroll Administrator to join our Calgary team. This essential position involves ensuring the accurate and punctual processing of payrolls, fully adhering to federal and provincial laws, company policies, and payroll best practices. The successful candidate will report directly to the Payroll Manager and will be instrumental in delivering superior payroll service and expert reporting, serving both employees and management effectively.
Key Responsibilities
- Manage and execute weekly payroll for both union and non-union staff, including contractors, guaranteeing precise payments, deductions, direct deposits, and adjustments.
- Verify payroll data accuracy and completeness, promptly addressing any discrepancies prior to processing deadlines.
- Handle changes in employee status, earnings, taxable benefits, and deductions in line with company guidelines and legal requirements.
- Provide timely, confidential, and professional responses to employee payroll inquiries.
- Maintain payroll records and employee documentation in compliance with legal standards, audit requirements, and confidentiality protocols.
- Ensure compliance with Canadian federal and provincial payroll laws, including employment standards and tax obligations.
- Prepare and submit payroll filings such as source deductions, payroll taxes, TD1 forms, Records of Employment (ROEs), and year-end tax documents.
- Assist with internal and external payroll audits by supplying accurate records and supporting information.
- Reconcile payroll accounts, investigate discrepancies, and ensure financial records are accurate.
- Prepare payroll journal entries and support financial reporting for month-end and year-end periods.
- Support annual bonus processing and other compensation-related projects.
- Generate both regular and on-demand payroll reports for management and internal stakeholders.
- Monitor payroll systems to maintain data integrity and operational efficiency.
- Audit payroll reports regularly to identify and fix errors or inconsistencies.
- Collaborate with payroll system vendors and internal teams to resolve system issues and enhance processes.
- Contribute to ongoing improvements of payroll procedures, reporting, and compliance efforts.
Qualifications and Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related discipline; equivalent education and experience combinations will be considered.
- At least five years of progressive experience handling payroll within computerized systems.
- Certification from the Canadian Payroll Association (National Payroll Institute) is an advantage.
- Comprehensive knowledge of Canadian payroll legislation, tax laws, employment standards, and compliance requirements.
- Familiarity with UKG and IFS payroll systems is preferred.
- Proven ability to juggle multiple priorities and meet strict payroll deadlines with high attention to detail.
