Job description
Role overview
This part-time receptionist role is centered on welcoming guests, handling calls, and supporting front-desk administration in the reception and administrative area. It is strictly a clerical position with no clinical responsibilities of any kind.
Core duties
- Deliver routine administrative and clerical assistance.
- Receive patients, clients, and visitors in a warm, professional, and upbeat manner.
- Answer incoming calls, relay messages, or route calls to the correct person.
- Register visitors and guide or accompany them to the appropriate location.
- Notify staff when visitors arrive or when scheduled visits are cancelled.
- Keep the visitor sign-in record up to date.
- Manage incoming and outgoing correspondence and mail.
- Coordinate appointments and keep meeting-room reservations organized.
- Keep the front desk and reception space neat and orderly.
- Complete additional tasks as assigned.
Confidentiality and compliance
You must protect resident private health information, avoid any unauthorized disclosure, and immediately report any suspected or known breach to the Administrator. All resident care information, including protected health information, must remain strictly confidential.
Supervision
This role does not include any supervisory responsibilities.
Qualifications and experience
A high school diploma or GED is required at minimum. Prior experience in administration or reception is preferred.
Strong English reading and comprehension skills are needed to review business materials, professional journals, technical procedures, and government regulations. The role also calls for the ability to write reports, business correspondence, and procedure documents, and to communicate clearly with managers and employees.
Basic numerical reasoning is important for working with fractions, percentages, ratios, and proportions. You should also be able to handle practical problems, work through varied situations with limited standardization, and follow instructions provided in written, spoken, visual, or scheduled formats.
Technical knowledge
Applicants should have working knowledge of Microsoft Office Suite, clerical processes, and multiline phone systems.
Physical requirements
The position may require occasional lifting or moving of items up to 25 pounds. It involves extended computer use and regular sitting, standing, walking, speaking, and hearing. Frequent use of office equipment such as a copier/scanner/fax machine, telephone, and calculator is also part of the job. No travel is required.
Work environment
The workplace is generally quiet to moderately noisy.
