About the Role
Join a fast-growing, innovative AI company in London as a Part-Time Executive Assistant & Office Manager. This role is critical for ensuring smooth office operations alongside providing high-level support to senior executives within a dynamic and collaborative setting.
Key Responsibilities
- Manage daily operations of the London office ensuring an organised, well-maintained, and functional workspace.
- Maintain effective relationships with vendors, suppliers, service providers, and building management to meet office requirements.
- Coordinate meeting room bookings, setups, hospitality, and organise office events including team socials and company gatherings.
- Plan and manage team offsite events, handling venue selection and logistics.
- Support the planning and implementation of an upcoming office relocation.
- Provide comprehensive executive assistance to the VP of Sales and Head of AI Strategy, including complex diary management across multiple time zones.
- Arrange global travel itineraries, manage prioritized inboxes, prepare meeting agendas and presentations, and take minutes for weekly leadership meetings, ensuring action tracking.
- Serve as a liaison among the London, San Francisco, and New York offices, coordinating meetings with various internal and external stakeholders.
Candidate Profile
- Experience in executive assistance, office management, or similar administrative support roles.
- Proficient in managing busy, international schedules and travel plans.
- Highly organised with meticulous attention to detail and confident engagement with senior leadership.
- Proactive problem solver with strong anticipation of needs.
- Excellent written and verbal communication capabilities.
- Ability to thrive in a fast-paced, growth-oriented environment.
- Strong skills in Microsoft Office and/or Google Workspace.
