Job description
Overview
The Children’s Feeding and Dietetic Service seeks a part-time Administrative Assistant (Band 3) to provide support on Mondays, Thursdays, and Fridays. The role requires approximately 21.75 hours per week (0.58 WTE) and involves extensive use of NHS systems, particularly Systm One. The service aids children and families across Mid and South Essex facing various feeding challenges such as cows' milk allergy, tube feeding, nutritional support, food allergies, coeliac disease, picky eating, and nutritional deficiencies.
Key Responsibilities
- Manage referrals registration and appointment scheduling.
- Prepare and type reports accurately.
- Maintain waiting lists and efficiently handle service-related emails.
- Perform document scanning and order stationery and equipment as necessary.
- Support day-to-day management of the clinic premises.
- Act as the initial point of contact for families attending clinics or making inquiries.
Expectations and Working Style
The position is part of a job share arrangement and demands a flexible, resourceful individual able to work independently and collaboratively within a team setting. The post holder will need to prioritize their own workload effectively, meet deadlines, and uphold high standards of communication and organization.
Additional Information
- The service manages a caseload exceeding 1200 children and receives over 2000 referrals annually.
- All new staff join on the first Monday of each month, undertaking a detailed two-week induction incorporating mandatory training, system training, and equipment allocation at the Trust's headquarters in Rainham, Essex.
- The post is subject to a probationary period, except for exempt internal applicants.
- The position includes a High Cost Area Supplement for specific regions (Basildon, Thurrock, Brentwood, Harlow, Dartford), providing 5% of the basic salary pro rata.
