Job description
Role overview
This opportunity is shared on behalf of a partner employer, which handles all applications and subsequent hiring steps. The company is seeking an Operations Specialist focused on Creative Production, to be based in Germany.
You will work at the center of a rapidly expanding creative production function inside a global digital health product environment built around AI-enabled user experiences. The role is designed for someone who can create structure, improve coordination, and keep fast-moving production work organized at scale. You will connect production, strategy, and MarTech partners, helping teams work with greater consistency, speed, and clarity. The position blends process building, project coordination, and practical operational support, while also contributing to automation and AI-driven improvements that reduce manual work and strengthen efficiency. It offers the chance to influence how creative production runs within a data-led, product-focused setting with meaningful real-world impact.
Responsibilities
- Build and keep up scalable workflows, operating playbooks, onboarding resources, documentation, and framework standards that support creative production end to end.
- Run recurring planning cadences such as weekly, monthly, and quarterly sessions, with clear priorities, owners, and deliverables.
- Strengthen collaboration across teams by connecting producers, strategists, and platform groups, while managing information handoffs and dependencies effectively.
- Spot opportunities for AI and automation to reduce repetitive tasks in reporting, tracking, scheduling, and documentation.
- Work closely with MarTech and AI teams to improve operational systems and introduce smarter workflow solutions.
Requirements
- Background in operations, project management, production operations, or business operations in a fast-moving environment.
- Demonstrated experience creating processes, systems, and documentation from the ground up, then refining them over time.
- Strong ability to stay organized while handling several workflows and stakeholder groups at once.
- Clear communication and coordination skills across cross-functional teams and varying seniority levels.
- High attention to detail, along with a dependable sense of ownership and completion.
- Systems-oriented thinking with the ability to find bottlenecks, inefficiencies, and automation opportunities.
- Strong curiosity about AI, automation tools, and modern operations platforms such as Airtable, Notion, or comparable tools.
- English proficiency at B2 level or higher.
Perks and benefits
- Competitive compensation aligned with experience and market norms.
- Flexible working setup, with remote, hybrid, or office-based options depending on preference and arrangement.
- Company-provided work equipment to support productivity.
- Access to a premium subscription within the product ecosystem.
- 21 days of annual leave plus local public holidays.
- Flexible hours with an emphasis on outcomes rather than time spent working.
- Exposure to AI-enabled operational tools and modern creative production systems.
- The chance to contribute in a high-growth, mission-led digital health setting.
Hiring and application process
Applications are reviewed using an AI-supported matching process to help identify candidates against the role’s core needs in a timely, consistent, and fair way. The strongest matches are shortlisted and forwarded to the hiring company, which then manages interviews, assessments, and final selection internally.
Data privacy and AI use
By applying, you agree that your personal data may be processed to assess your fit for the role and shared with the employer as part of the hiring process, under legitimate interest and pre-contractual grounds in line with applicable data protection laws, including GDPR. You may request access, correction, deletion, or objection to processing at any time.
AI tools may also be used to assist parts of the recruitment workflow, such as application screening, resume review, response analysis, and inconsistency checks.
