Role Summary

The Operations Executive will manage all crew-related operational tasks for assigned vessels, ensuring effective crew planning, documentation, mobilization, and seamless communication among vessels, crew, manning agencies, and internal teams. The role focuses on efficient crew deployment in full compliance with company policies.

Core Responsibilities

  • Coordinate all facets of vessel port calls such as arrival, berthing, cargo handling, crew changes, and departure, aligning with company standards and efficiency goals.
  • Collaborate with port authorities, customs, immigration, service providers, and other stakeholders to guarantee smooth and compliant vessel operations.
  • Manage inward and outward vessel clearances, ensuring all operational documents (manifests, crew lists, customs paperwork) are accurate and regulation-compliant.
  • Oversee crew activities including changes, medical cases, and shore passes, coordinating closely with the main office to reduce operational interruptions.
  • Track vessel movements, turnaround times, and performance; provide timely status updates and communicate any issues or delays to principals, vessel masters, management, and other stakeholders.
  • Generate and distribute daily operational and vessel movement reports, maintaining detailed records to support KPI tracking and management analysis.
  • Participate in port meetings and stay updated on changes to port regulations, tariffs, and procedures, ensuring continuous compliance and informing management accordingly.
  • Build and nurture strong relationships with principals, vessel masters, and stakeholders, consistently delivering excellent customer service and meeting client expectations.
  • Monitor operational expenses and help deliver cost-efficient agency services while maintaining quality standards.

Candidate Qualifications

  • Strong written and verbal communication abilities.
  • Basic knowledge of crew movements.
  • Excellent organizational and planning capabilities.
  • Skill in handling multiple concurrent crew changes.
  • Effective problem-solving and decision-making, especially under time constraints.
  • Ability to perform well under pressure and adhere to tight deadlines.
  • Competence in managing emergencies and last-minute changes smoothly.
  • Capacity to work independently and collaboratively within a team.
  • Bachelor’s degree is required.
  • Proficiency in Microsoft Office tools (Excel, Word, Outlook).
