Role Summary

Reporting to the General Manager, this position delivers high-quality executive and administrative assistance to the Management Team and Board, while also supporting HR and operational coordination across the organisation.

Key Responsibilities

  • Support the CEO, Management Team, and Board by organising meetings, drafting agendas, and recording minutes.
  • Assist with HR administration throughout the employee journey, including recruitment coordination, onboarding, and maintenance of HR systems.
  • Look after HRIS records, employee files, and organisational documents.
  • Help coordinate Health & Safety activities and reporting obligations.
  • Prepare reports, presentations, and other important organisational materials.
  • Help improve internal systems and processes on an ongoing basis.

About You

  • You bring solid experience in administration, executive assistance, or coordination, including exposure to Board support.
  • You have HR administration experience or a genuine interest in developing capability in this area.
  • You work in a values-led way and are committed to Te Tiriti o Waitangi, with openness to building cultural capability.
  • You are highly organised and detail-oriented.
  • You are comfortable with technology and using a range of digital systems and tools.
  • You take initiative, adapt quickly, and approach work with a can-do attitude.
  • You communicate clearly and professionally, both in writing and verbally.
  • You handle sensitive information with strong discretion, professionalism, and confidentiality.
