Role overview

This position supports day-to-day administrative and operational work across Coliwoo sites, with a strong focus on coordination, tenant administration, reporting, and credit control support. The role also requires close collaboration with onsite teams, contractors, maintenance, housekeeping, marketing, companies, and finance to keep operations running smoothly.

Key responsibilities

  • Manage enquiries and follow-up actions related to THM and other internal systems.
  • Step in to assist Operations Admin Executives across Coliwoo locations whenever they are absent or additional support is needed.
  • Handle orders and submit claims for the maintenance team.
  • Keep track of records, logs, and monitoring sheets across multiple sites.
  • Provide general administrative support whenever required.
  • Prepare weekly and monthly reports.
  • Work with onsite teams to make sure required training is properly rolled out.
  • Oversee the daily condition and functionality of facilities, and support operations by coordinating with contractors, maintenance, and housekeeping teams when needed.
  • Coordinate tenant special requests and appeals, including pre-termination and replacement requests, while following company policies and SOPs.
  • Maintain tenant documentation such as background checks, personal particulars, tenancy agreements, and security deposit records.
  • Work with the Marketing team to compile the Weekly Sales Report.
  • Update data in the Ibase system and help automate operational documents.
  • Track monthly arrears and communicate with tenants to ensure timely payment.
  • Prepare weekly ageing reports, analyse outstanding balances, and carry out credit control actions, including issuing late-fee credit notes where applicable.
  • Highlight important credit control matters to management during monthly meetings.
  • Coordinate with Companies and Finance on monthly invoice issuance.
  • Prepare and distribute monthly statements of account for Coliwoo tenants.
  • Manage inventory and maintain records of office supplies.
  • Take on additional duties and ad-hoc tasks as assigned.

Requirements

  • Education at GCE O Level or Diploma level.
  • Practical, hands-on approach with solid PC skills.
  • Resourceful, quick-thinking, and able to take initiative.
  • Strong verbal and written communication abilities, with a customer-focused attitude.
