Job description
Role Overview
This position involves comprehensive support to the department by managing daily administrative tasks and reporting duties in alignment with established policies and procedures. The role requires diligent handling of documentation, data management, and adherence to organizational standards to ensure smooth functioning of departmental operations.
Key Responsibilities
- Execute administrative and reporting tasks timely, following approved processes to help achieve departmental goals.
- Maintain and update both physical and digital records, ensuring data accuracy and confidentiality.
- Draft and process internal correspondences, memos, and communications for necessary approvals.
- Coordinate schedules, meeting logistics, and manage related arrangements effectively.
- Support attendance tracking, leave management, and periodic report preparation using relevant systems.
- Aid onboarding efforts including setting up access cards, office supplies, and workspace for new hires.
- Keep office supplies stocked, and arrange repair or maintenance for office equipment as needed.
- Handle clerical duties such as document scanning, photocopying, filing, and managing incoming/outgoing correspondence.
- Manage internal requests and complaints using official systems and ensure timely resolution of tasks.
- Collaborate with HR, Procurement, and Finance on routine administrative tasks like training nominations and processing purchase orders.
Process Improvement and Compliance
- Adhere to standardized administrative procedures and maintain filing systems in compliance with information security protocols.
- Identify repetitive issues or minor process gaps and report them to senior staff for corrective action.
- Engage actively in departmental initiatives, training, and awareness sessions regarding new digital tools and standards.
- Contribute to ongoing improvements by providing accurate data and feedback from daily tasks.
Eligibility and Qualifications
- High School diploma or Diploma in Business Administration, Office Management, or Human Resources.
- Minimum two years of relevant experience for diploma holders; five years or more for high school graduates.
- Proficient in professional communication and official correspondence.
- Familiarity with administrative practices, workflow management, and intranet content governance.
- Skilled in presentation creation and executive report preparation.
- Good understanding of organizational business context and operational functions.
- Ability to prepare and deliver technical reports effectively.
