Role Overview
The organization is hiring an Office Manager/Secretary for its Khobar, Saudi Arabia office. This is an onsite position supporting the CEO directly and ensuring smooth administrative and office operations.
Key Responsibilities
The selected candidate will provide high-level executive and office support, coordinate communications, and help keep day-to-day operations running efficiently.
- Handle the CEO’s schedule end to end, including travel, meetings, and conferences, while also managing communication flow and representing the CEO in selected meetings when needed.
- Prepare clear and concise minutes from meetings and ensure follow-through on key action items.
- Draft correspondence on behalf of the CEO and manage confidential documents and office records such as faxes, mail, and checks.
- Support the preparation of presentations, hiring-related documentation, approvals, and other administrative tasks.
- Oversee office supplies, monitor inventory levels, and make sure equipment remains in good working condition.
- Improve and maintain administrative processes and policies to support efficient office operations.
- Coordinate with external stakeholders and internal teams including Project, Procurement, Sales, Finance, and HR to keep workflows aligned.
Skills and Experience Needed
The role calls for a professional with strong executive support experience, excellent coordination abilities, and a proactive mindset.
- At least 3 years of experience supporting senior executives or C-suite leaders, preferably in technology or another fast-moving environment.
- Strong calendar management and scheduling skills.
- Experience handling confidential documentation and document control processes.
- Effective stakeholder communication and cross-functional coordination.
- Ability to anticipate needs, solve problems quickly, and improve efficiency.
- Solid office administration and workflow management capabilities.
