Role overview
An international law firm is looking for an Office Manager to keep day-to-day operations running smoothly and support workplace needs across the office. The role calls for 4 to 5 years of office management experience gained in a law firm or a comparable professional services setting.
Compensation and working arrangement
The base salary for this position is $85,000 to $100,000 per year. Working hours are 9:00 AM to 5:00 PM. The schedule is hybrid, with 3 days on-site and 2 days remote.
Key responsibilities
- Oversee office operations, administrative workflows, and event planning.
- Partner with leadership on office relocations, renovations, and space planning efforts.
- Handle onboarding coordination, performance review support, and recruitment administration.
- Track budgets, process vendor payments, and prepare financial reporting to support efficient office management.
- Help implement firm policies, initiatives, and procedures that support compliance and operational effectiveness.
- Organize local meetings, events, and administrative communications to strengthen office engagement.
- Provide on-site support to IT, HR, and other internal teams, escalating issues when needed.
- Look for opportunities to improve processes and work with management to put changes into practice.
- Maintain discretion and professionalism when dealing with confidential information.
- Lead office projects, support services, and business meeting coordination.
- Work with leadership on billing, collections, and financial reporting tasks.
- Manage general administrative duties that keep the office operating efficiently.
- Coordinate hospitality and reception services with the Regional Operations Manager.
- Act as a point of contact with landlords and building engineering teams for facility-related needs.
- Support local meetings, events, and routine administrative updates.
- Contribute to firm-wide initiatives and help foster a positive office culture.
Candidate profile
The ideal candidate brings strong leadership, organization, and problem-solving abilities, along with experience in office administration, event coordination, and space planning. Comfort with multitasking in a fast-paced environment is essential, as is a professional approach to communication and confidentiality.
Education and experience
A high school diploma or GED is required. A bachelor’s degree is preferred. Applicants should have at least 4 years of management experience in professional services or a law firm environment.
Additional qualifications
Basic accounting knowledge and budget management experience are preferred. Strong interpersonal skills are important for working with peers, attorneys, and leadership. Technical and analytical capability is also expected.
