Role overview
A financial services firm is hiring an Investor Relations Assistant to support its investor relations function and related client-facing coordination work. The position requires substantial prior experience in investor relations or client services within the finance sector.
This is a fully onsite role in New York City, with a Monday through Friday schedule. The base salary is listed at 100,000 to 120,000.
Key responsibilities
- Offer day-to-day administrative support to the investor relations team, including calendar coordination, meeting setup, and travel planning.
- Arrange the logistics for investor meetings, conference calls, webinars, and company events, including the preparation of agendas and supporting materials.
- Draft, format, proofread, and send out investor presentations, reports, and written correspondence.
- Update investor contact records, CRM information, and electronic filing systems so documentation remains accurate and organized.
- Monitor incoming investor questions and work with internal stakeholders to ensure responses are delivered promptly.
- Help manage investor onboarding by gathering and organizing the required paperwork and supporting documents.
- Keep track of calendars tied to investor deadlines, deliverables, and scheduled commitments.
- Handle departmental admin tasks such as expense reports, invoices, and related bookkeeping coordination.
- Maintain both digital and physical records connected to investor communications and documentation.
- Assist with additional projects and other duties as needed.
Requirements
- A bachelor’s degree is required.
- At least 5 years of experience in investor relations, client services, and executive support within finance.
- Strong organizational abilities, excellent time management, and a meticulous eye for detail.
- Effective communication skills, both written and verbal, along with strong interpersonal ability.
- High-level proficiency with Microsoft Office tools, especially Outlook, Word, PowerPoint, and Excel.
- Comfort handling confidential information with discretion and a consistently professional approach.
- Ability to prioritize follow-ups and juggle several tasks in a fast-paced, deadline-oriented setting.
