About the Role
We are in search of a highly organized, proactive, and discreet Office Manager to provide comprehensive support to the Board of Directors by overseeing executive office functions and facilitating smooth coordination of administrative and strategic tasks. The successful candidate will demonstrate outstanding organizational abilities, strong communication skills, and a background in supporting senior executives in dynamic corporate settings.
This position demands a professional capable of handling confidential information with utmost integrity while ensuring effective executive office operations.
Core Responsibilities
- Oversee daily functions of the executive office assisting the Board of Directors.
- Manage calendars, meetings, appointments, and travel logistics for the BOD.
- Prepare agendas, presentations, detailed meeting minutes, reports, and monitor follow-up actions.
- Handle confidential documents and correspondence with high levels of discretion and professionalism.
- Facilitate communication between the Board and both internal teams and external partners.
- Track and ensure timely completion of critical tasks and deliverables.
- Coordinate executive, board, and corporate meetings and special events.
- Maintain comprehensive records, filing systems, and executive documentation.
- Collaborate with various departments to ensure clear communication and execution of executive directives.
- Assist with strategic projects and initiatives as directed by senior leadership.
- Ensure the smooth and efficient functioning of the executive office adhering to high professional standards.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Management, or a closely related discipline.
- Five to eight years of experience serving as an Office Manager, Executive Assistant, or Executive Office Administrator supporting senior executives or Board Members.
- Proficient in managing executive-level calendars, meetings, travel arrangements, and sensitive documentation.
- Excellent command of English communication skills, both written and verbal; Arabic proficiency is advantageous.
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Microsoft Teams.
- Strong organizational, multitasking, and time management capabilities.
- Demonstrated professionalism, integrity, and ability to maintain confidentiality.
- Self-starter comfortable managing multiple priorities in a fast-paced environment.
- Experience within corporate groups or holding companies is preferred.
