Job description

Position Summary

This role provides broad clerical and administrative assistance within the Division of Claims Services Mailroom at 201 W. Preston Street in Baltimore. The Office Clerk I supports the Claims Control Section, which receives more than 11 million Maryland Medicaid professional fee-for-service claims. Work includes handling claims and mail through data entry, sorting, batching, logging, scanning, microfilming, and retrieval activities.

The position is responsible for the daily front-end workflow for claims processing and mail operations, including batch control, storage, output distribution, and handling deliveries and pickups from FedEx, UPS, and USPS. The role requires careful review of information, the ability to interpret policies and procedures, and the judgment to resolve issues in line with applicable agency rules, regulations, and laws.

In addition to claims processing, the clerk assists with storage-area tasks and mailroom duties such as opening mail, sorting documents, filing medical claims invoices and other agency records, and supporting standard operating procedures for the OSOP mailroom in compliance with federal and state requirements.

Key Duties

  • Enter claims and related information accurately into agency systems.
  • Sort, open, batch, log, file, scan, and microfilm claims and mail materials.
  • Support batch storage, batch control, and distribution of output.
  • Assist with mailroom operations, including receiving and processing incoming and outgoing deliveries.
  • Review documentation to confirm billing methods and processing requirements align with Maryland Medicaid policies and procedures.
  • Follow established mailroom and claims-processing procedures and carry out other assigned clerical tasks.

Minimum Qualifications

Applicants must have completed at least eighth grade and possess six months of clerical experience in an office setting.

Substitution and Equivalency Notes

  • Additional clerical experience may replace the education requirement on a year-for-year basis.
  • A high school diploma or high school equivalency may be used in place of the required experience.
  • Six months of clerical training, including three relevant courses such as keyboarding, clerical math, word processing, spreadsheets, database, graphics presentation, proofreading, or office etiquette, may substitute for the experience requirement.
  • Military service experience in Administration classifications or administrative, clerical, or office services specialties within the clerical support field may be substituted on a year-for-year basis for the experience requirement.

Preferred Background

  • Experience handling data entry and recordkeeping tasks.
  • Strong attention to detail in clerical work.
  • Ability to manage and prioritize large volumes of mail.
