Role Overview
We are looking for a well-organized and proactive Executive Assistant to provide comprehensive support to the CEO of a vessel ownership and chartering shipping firm. This position demands excellent organizational capabilities, refined communication skills, and the expertise to juggle various priorities within a dynamic global setting. The candidate must be meticulous, resourceful, and maintain strict confidentiality in professional dealings.
Key Duties and Responsibilities
- Oversee the CEO's schedule including meetings, appointments, and travel plans.
- Manage incoming communications such as emails and calls by screening and prioritizing them.
- Organize meetings with stakeholders like shipowners, brokers, charterers, agents, and business partners.
- Prepare diverse documentation including reports, presentations, meeting agendas, and correspondence.
- Follow up on commercial issues ensuring completion of relevant action items.
- Keep precise records of contracts and sensitive documents.
- Coordinate scheduling across multiple time zones.
- Arrange international and local travel logistics—visas, accommodations, transport.
- Serve as liaison between internal teams and external parties.
- Assist the CEO with a range of administrative, personal, and business duties.
- Track deadlines and support daily operational efficiencies.
Required Qualifications and Skills
- Bachelor's degree or equivalent professional experience.
- Minimum three years experience as an Executive or Personal Assistant in support of senior leadership.
- Preferred background in the shipping, maritime, logistics, or commodity trading sectors.
- Fluent spoken and written English communication skills.
- Highly organized with strong aptitude in time management.
- Ability to handle confidential matters with discretion and professionalism.
- Advanced knowledge of Microsoft Office suite and video conferencing software.
- Independence in task prioritization and execution under pressure.
- Availability to work outside usual business hours as required for international coordination.
