Position Overview

CentreCourt is looking for a highly organized and proactive Office Administrator to manage daily operations at our head office. This role is crucial in ensuring smooth business flow and acts as the central point of contact for employees, visitors, consultants, vendors, and partners. The Office Administrator supports a variety of departments including development, construction, finance, sales & marketing, and customer care, working closely with senior leadership.

Key Responsibilities

  • Act as the primary contact for guests, vendors, employees, and external stakeholders, handling incoming calls, mail, courier services, and office correspondence.
  • Manage office security, visitor coordination, and handle confidential documents, including sealed tenders.
  • Oversee daily office operations by liaising with property management, vendors, and service providers to maintain meeting rooms, kitchens, shared spaces, and office supplies.
  • Coordinate office maintenance, equipment, technology, and employee onboarding tasks such as workspace preparation and access provision.
  • Provide administrative assistance including preparing documents, filing, managing meeting materials and internal communications.
  • Organize meetings, calendars, catering, travel arrangements, gifts, and meet various administrative needs for senior leadership.
  • Support company events, employee engagement programs, and office-wide activities.
  • Manage corporate credit cards and monthly expense report processing.
  • Assist accounting with cheque handling, invoice filing, courier coordination, and maintain accurate operational and financial records.

Candidate Qualifications

  • Demonstrated experience in Office Administration, Reception, Executive Support, or related roles.
  • Excellent organizational and multitasking skills to effectively balance competing priorities.
  • Strong verbal and written communication skills with professional demeanor.
  • Superior customer service abilities and interpersonal skills.
  • High attention to detail and dependable in task follow-through.
  • Capable of managing confidential and sensitive information discretely.
  • Proficiency in Microsoft Office applications.
  • Familiarity with Rydoo or similar expense management tools is a plus.
  • Self-motivated with the ability to thrive in a teamwork-driven, fast-paced setting.
  • Adopts a positive, proactive, and service-minded approach to work responsibilities.
