About the role

Advara HeartCare is hiring a Medical Secretary for its Murdoch, Western Australia operations. This is a permanent full-time position in the healthcare / medical administration field. The role supports patients with a range of cardiovascular conditions and contributes directly to the quality of care delivered by the organisation.

Advara HeartCare is an Australian-owned cardiology provider with more than 20 years of experience, a network of over 90 centres, and more than 100 doctors. This is a mobile position, meaning you may be required to work across different locations depending on the doctor’s clinic roster. Non-clinic day locations will be discussed further during the hiring process.

Key responsibilities

  • Support specialist clinics by coordinating schedules, appointments, and busy practice calendars.
  • Provide personal assistant-style support to specialists as needed.
  • Handle patient invoicing, receipts, quotations, and account-related questions.
  • Process billing through Medicare, DVA, and private health funds.
  • Communicate professionally with hospitals, healthcare providers, patients, and other stakeholders.
  • Use medical practice software, specifically HealthTrack, for day-to-day administrative tasks.
  • Maintain accuracy, organisation, and efficiency while managing multiple priorities under pressure.

Candidate profile

  • At least 2 years of experience as a medical secretary, ideally in a specialist medical environment.
  • Background in managing a busy specialist’s clinic schedule, bookings, and administrative support.
  • Strong command of medical terminology; cardiology terminology is an advantage.
  • Experience using medical management software, with HealthTrack preferred.
  • Excellent written and verbal communication skills.
  • Strong organisational ability, with the capacity to multitask and prioritise effectively.
  • High attention to detail and solid computer literacy.
  • Ability to deal with pressure while keeping service standards high.
  • Current Australian driver’s licence is required.
