About the Role

Beacon Pain Clinic seeks to hire a full-time Medical Secretary / Administrator to support its busy Pain Management Clinic in Dublin. The team currently includes two Professors, one Consultant Doctor, one IT Specialist, and one Medical Secretary. This role involves assisting with appointment management, patient record administration, correspondence, and day-to-day clinic operations. Handling approximately 100 patient interactions weekly, the role demands exceptional organisational, communication, and patient-centered abilities.

The clinic's core mission is to deliver outstanding patient care within an environment emphasizing quality, respect, compassion, and professionalism.

Key Responsibilities

  • Schedule procedures and theatre bookings while preparing necessary clinical documentation to assist consultants.
  • Oversee referral management, waitlists, and appointments to optimize consultants' availability and prevent schedule conflicts.
  • Coordinate with private health insurers to secure treatment authorizations and facilitate reimbursement processes.
  • Collaborate closely with the existing Medical Secretary and clinical team to maintain efficient clinic operations and attend regular team meetings.
  • Support preparation and distribution of clinic letters, reports, prescriptions, referrals, and correspondence, while proposing administrative process improvements.
  • Keep accurate records and assist with audits, accreditation, and quality assurance tasks as required.
  • Monitor and replenish clinic supplies, including medications and office inventory, ensuring readiness for daily activities.

Essential Qualifications and Skills

  • At least two years' experience in administration or healthcare-related office roles.
  • Fluent English language skills, both spoken and written.
  • Strong organizational and multitasking skills to handle different priorities effectively.
  • High attention to detail, accuracy, and stringent confidentiality practices.
  • Professional telephone etiquette and patient-focused communication.
  • Problem-solving skills with the ability to work independently and collaboratively within a multidisciplinary team.
  • Proficient with Microsoft Outlook, Word, and Excel.
  • Ability to perform effectively in a high-pressure, clinical environment.
  • Compassionate and professional manner when managing sensitive patient information.
  • Ability to take initiative and contribute positively to team efforts, open to feedback and committed to ongoing learning.

Desirable Experience

  • Background in healthcare environments.
  • Familiarity with medical terminology.
  • Experience using electronic patient record systems like iMedDoc, MedServ, Beacon Remote, or similar.
  • Experience handling private health insurance procedures.
  • Previous work in private consultant clinics or private healthcare settings.
  • Pharmacy Technician qualification (considered an advantage).

Working Hours and Location

This is a full-time position based on-site in Dublin, from Monday to Friday, 8:30 am to 5:30 pm. Due to the patient-centric nature of the clinic, remote work is not permitted. The successful candidate must be present during these hours.
